Operations Associate - Documentation and Guarantees

Role overview

This role sits within trade operations and focuses on handling commodity-related transactions across Singapore, Hong Kong, and Australia. The position covers issuance and advising of letters of credit, guarantees, financing, and related payment activities, together with document review, text vetting, and client support.

Core accountabilities

• Process and validate trade commodity transactions, including import letter of credit issuance, financing, guarantees, export letter of credit advising, and payments.
• Review LC wording, flag issues, and support clients with questions tied to their transactions.
• Check import and export LC documents and verify that they meet the required standards.
• Carry out reasonable price verification for commodity goods.
• Act as a point of coordination between the processing centre, internal teams, and external clients for all trade-related matters.
• Ensure back-office processing is completed with controlled operational risk and in line with bank procedures.
• Maintain accuracy and timeliness in system entries, including postings to P&L accounts.
• Manage transaction life-cycle events such as payments, funding, and suspense item resolution.
• Provide reliable customer service and maintain effective working relationships with internal and external stakeholders.
• Support business continuity by serving as backup for the team and collaborating with other TCF teams when needed.

Transaction processing and controls

The role requires first-pass and second-pass checking of import/export LC documents in accordance with UCP600. It also includes reviewing customer applications, clarifying unclear terms with customers, ensuring transactions match the agreed details, monitoring bill payment and acceptance, and issuing refusal notices within the allowed time. Accurate input of data and accounting entries into the BO system is essential, along with compliance screening and vessel screening.

Compliance and regulatory expectations

The successful candidate must comply with all applicable legal, regulatory, and internal compliance requirements, including Singapore compliance manuals, compliance policies and procedures, and financial security obligations such as anti-financial crime and fraud controls. Reporting responsibilities to the Money Laundering Reporting Officer and/or Compliance Officer must be followed where required. Ongoing learning and mandatory training are part of the role to maintain competence.
