Role Overview

The Logistics & IT Officer is responsible for managing warehouse operations, vehicle fleets, IT support, and office facilities to maintain organized logistics data including assets, stock, fleet maintenance records, and troubleshooting IT issues. The role requires collaborative coordination with third-party providers, internal teams at PSO and PIA, and preparation of monthly reports on logistics, asset verification, stock, and vehicle usage.

Key Responsibilities

  • Manage warehouse activities including coordination with logistics, safety & security, HRP Manager, and third parties for daily operations and annual physical verification.
  • Oversee stock movement, shipping to response areas, disposals, replenishments, packing, unpacking, and audit processes.
  • Update non-food item price lists for depreciation with the Finance Department.
  • Administer asset management by documenting new assets, transfers, repairs, disposals, ensuring capitalization, maintenance, use, and field inspections.
  • Manage office facilities, supplies, payments such as utilities and internet, and supervise support staff including Office Boy, Receptionist, Drivers, and Security.
  • Ensure fleet compliance with tax, insurance, safety regulations; maintain vehicles through timely servicing; monitor fleet costs and movements; document trips and ensure emergency equipment is carried.
  • Serve as focal point for IT issues at PSO and PIA, install/configure software and hardware per Jakarta IT team instructions, and liaise with IT vendors on asset servicing and policy implementation.
  • Manage and update organizational legal documents including domicile letters, foundation deeds, registration certificates, activity permits, lease agreements, insurance, and contracts.
  • Support staff visa applications, prepare visitor invitation letters and documents.
  • Implement safeguarding, PSHEA and GEDSI principles in all planning, risk assessment, monitoring, and reporting activities, fostering professional conduct and protection culture.

Candidate Requirements

  • Bachelor’s degree in IT, economic management, business administration, logistics, data management, or related fields.
  • Minimum of 2 years experience in logistics within private companies or NGOs.
  • Proficient knowledge of data management using multiple platforms.
  • Proven expertise in logistics and asset & vehicle management.
  • Strong analytical abilities and capacity to provide technical recommendations.
  • Good oral and written English communication skills.
  • Initiative-driven and proactive work ethic.
  • Able to work independently and collaboratively within a team.
