About the Role
We are seeking a Legal Assistant to join our Pittsburgh office to provide dedicated support to an active civil litigation team. This role involves delivering skilled administrative assistance to attorneys handling diverse civil litigation cases. The position is based on a hybrid work arrangement, requiring presence in the office three days a week.
Key Responsibilities
- Drafting, revising, formatting, and finalizing a broad range of legal documents such as correspondence, memoranda, discovery materials, pleadings, motions, briefs, and other relevant documents.
- Managing the filing and service of legal papers within Pennsylvania Federal Courts as well as local courts statewide.
- Communicating effectively with courts, opposing lawyers, clients, and service providers.
- Processing vendor invoices and preparing payment requests.
- Completing expense reimbursement paperwork.
- Organizing attorneys' calendars including court dates, depositions, meetings, and critical deadlines.
- Opening new case files and ensuring proper filing and indexing of original legal documents and electronic records.
- Assisting in trial preparation by coordinating exhibits, managing witness schedules, and drafting trial documentation.
- Arranging travel and appointments for attorneys and managing coordination of meetings and depositions.
- Accurately recording billable hours in the firm’s time tracking system promptly.
- Collaborating in a fast-paced team environment to support attorneys and colleagues as required.
- Carrying out general administrative duties including filing, photocopying, scanning, supply management, call handling, and other tasks assigned by supervisors.
Required Skills and Qualifications
- High school diploma is mandatory.
- Minimum of three years' experience as a legal assistant in civil litigation.
- Familiarity with Pennsylvania State and Federal court processes and procedures.
- Strong knowledge of civil litigation practices, court rules, and legal terminology.
- Excellent organizational skills with ability to manage time and prioritize under pressure.
- Exceptional attention to detail and precision in document drafting, editing, and proofreading.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Windows environments, internet research, and electronic court filing/service systems.
- Upholding confidentiality and exercising independent judgment in work planning and organization.
- Effective interpersonal communication skills to follow instructions and coordinate efficiently.
