About Tarion
Established in 1976, Tarion protects new home buyers and homeowners by backing a warranty that covers nearly every new home in Ontario for up to seven years. With over 375,000 homes currently enrolled and approximately 55,000 new homes added annually, Tarion safeguards consumers through the new home warranty and protection program. As an independent, not-for-profit entity, Tarion offers resources to help homeowners understand warranties and supports them in resolving claims when builders fall short of commitments.
Team Overview
The Law department at Tarion has three key areas: operations, support, and policy creation. Key functions include dispute resolution through courts, tribunals, and arbitrations; advising Tarion’s departments and leadership; and shaping policies and strategic initiatives. The Legal Assistant role supports lawyers in this department by managing legal administrative tasks and coordinating litigation processes.
Key Responsibilities
- Provide comprehensive clerical and administrative assistance to one or multiple lawyers, including document control, scheduling, file management, and monitoring deadlines.
- Draft, review, format, and prepare diverse legal documents such as correspondence, pleadings, affidavits, briefs, and arbitration materials under lawyer guidance.
- Assist with preparation of materials for court, Licence Appeal Tribunal, and Builder Arbitration Forum proceedings.
- Maintain department databases, statistics, and records to support performance tracking and reporting.
- Ensure compliance with procurement and reserve protocols by reviewing reserve settings and claim payouts.
- Coordinate with internal divisions, external counsel, courts, tribunals, arbitrators, and other relevant parties as necessary.
Candidate Requirements
- Diploma from college in Legal Assistant Studies, Law Clerk, or a related field.
- Between three to five years of administrative or clerical experience within a civil litigation context.
- Strong understanding of Rules of Civil Procedure.
- Proficient with MS Office suite and other computer applications.
- Exceptional organizational abilities, interpersonal skills, and a customer-service orientation.
- Detail-focused, proactive, and process-driven work practices.
- Capacity to work autonomously with limited supervision.
- Skillful at managing multiple tasks, adhering to deadlines, and anticipating lawyer needs.
- Ability to uphold confidentiality at all times.
Work Environment
This role is designed under a hybrid model: two working days per week are required at the office, with three days remote. New employees must work four days per week in-office during their first three months to facilitate onboarding. All remote work must be conducted from a home office located within Ontario.
