Position Overview

We seek a seasoned secretary or administrator to provide essential administrative support within the Critical Care Unit. This role involves delivering an extensive and senior-level secretarial service to the business unit, ensuring the smooth operation of communication, administrative workflows, and organizational systems.

Key Duties

  • Offering secretarial assistance to Lead Consultants, other Consultant medical personnel, Matrons, Senior Nurses, and Business Unit Management.
  • Providing robust administrative backing to the ICU team including the coordination of meetings, minute-taking, follow-up clinics, and human resource activities via ESR.
  • Maintaining effective communication across all departments to ensure comprehensive secretarial service delivery.
  • Performing audio and other transcription tasks including complex discharge summaries, medical reports, letters, meeting minutes, and action points.
  • Typing daily Critical Care admission and discharge summaries accurately.
  • Supporting patient audits and unit-related audit work connected to Critical Care ICNARC.
  • Using manager access on ESR to process staff terminations, modify work hours, coordinate departmental moves, and manage leave related to maternity, paternity, sabbatical, and retirements.
  • Accessing and retrieving relevant data through multiple systems.
  • Handling complex and sensitive information tactfully, demonstrating diplomacy.
  • Organizing a variety of meetings, actively participating, recording timely minutes with points of action, and ensuring follow-up actions are completed with future agendas scheduled.
  • Taking minutes during sensitive HR meetings such as sickness reviews.
  • Undertaking any other reasonable duties within the scope of this position.
