About the Role
InterContinental Adelaide seeks a Group Reservations Agent to oversee group bookings from contract finalization through to post-stay reconciliation. This role operates within the reservations department while collaborating closely with Sales, Revenue, and Operations teams to ensure seamless management and execution of group bookings. The position plays a critical part in protecting hotel revenue, managing room inventories, and facilitating smooth hotel operations.
Key Responsibilities
- Oversee group bookings post-contract ensuring correctness, maintain documentation of any updates with proper approvals, and communicate changes to relevant parties.
- Manage room allocations, rates, and deadlines in accordance with contract stipulations.
- Monitor group booking pick-up rates and actively manage risks related to attrition, escalating concerns to leadership when necessary.
- Track deposits, issue invoices, and allocate payments adhering to hotel policies and contract terms.
- Handle group booking cancellations and modifications ensuring alignment with contractual obligations.
- Coordinate timely receipt, review, and accurate uploading of rooming lists.
- Serve as the communication point among various departments for all group-related issues, including presenting updates, risks, and operational matters in weekly meetings.
- Conduct post-stay reconciliations accurately and prepare invoices promptly to ensure correct commission payments to travel agents and third parties.
- Resolve any queries or discrepancies related to post-stay accounts in partnership with Finance and Sales teams.
Candidate Profile
- Exceptional precision and accuracy, especially in data entry and financial processes.
- Excellent interpersonal and communication skills with the ability to engage multiple stakeholders effectively.
- Prior experience in hotel reservations focusing on group reservations or group sales roles.
- Capability to juggle multiple priorities efficiently within demanding, fast-paced settings.
- Strong organizational aptitude and problem-solving skills for proactive risk and priority management.
- Familiarity with hotel Property Management Systems like Opera or equivalents is strongly preferred.
- Experience working in large or high-volume hotel environments with a good grasp of group revenue principles is advantageous.
