About the Role
The Facilities Operations Coordinator plays a key role in providing operational, administrative, and reporting assistance to the National Facilities team. This position oversees the full lifecycle of work orders, maintains data accuracy within the Computerized Maintenance Management System (CMMS), manages vendor communications, supports facility repair and capital projects, and prepares comprehensive leadership reports. The role collaborates cross-functionally with various departments including Facilities, Operations, Finance, Procurement, Construction, and external vendors, and operates within a dynamic multi-unit restaurant setting.
Key Responsibilities
- Manage and track work orders via CMMS (such as Corrigo) from initiation to completion, including auditing and monitoring overdue or escalated requests.
- Maintain and verify the integrity of CMMS data regularly.
- Coordinate schedules, proposals, and issue resolution with vendors to ensure timely service delivery.
- Assist in Repair & Maintenance initiatives, capital projects, asset replacements, and operational programs.
- Monitor project progress, budget adherence, invoices, purchase orders, and maintain thorough project documentation.
- Compile and distribute recurring reports including dashboards, vendor performance, work order status, and budget tracking.
- Create presentations, SOPs, meeting materials, and maintain shared digital documentation repositories like Teams and SharePoint.
- Facilitate meetings and manage departmental communications ensuring records are audit-ready.
- Drive enhancements in processes, reporting, dashboard automation, and uphold high-quality CMMS data standards.
Required Qualifications
- Associate degree is mandatory; Bachelor's degree preferred.
- Minimum three years of relevant experience in facilities administration, operations or project coordination, executive administrative support, or property management.
- Proven organizational abilities, detail orientation, strong communication, and multitasking skills.
- Demonstrates professionalism, confidentiality, and accountability in all tasks.
Preferred Qualifications
- Familiarity with CMMS platforms like Corrigo, ServiceChannel, Maximo, or FMX.
- Experience supporting facilities, construction, property management, restaurant operations, or multi-unit field teams.
- Proficient in vendor relations, project documentation, executive-level reporting, budget and purchase order management.
Technical Expertise
- Advanced Microsoft Excel skills including Pivot Tables, XLOOKUP, and Data Validation.
- Proficiency with Microsoft Outlook, Teams, SharePoint, PowerPoint, Word.
- Experience with Adobe Acrobat or similar document management software.
- Knowledge of CMMS software.
- Ability to quickly adapt to internal systems and reporting applications.

The role requires working remotely while aligning with Eastern or Central Standard Time zones in the United States. This contract position spans six months with potential for extension. The hourly compensation ranges from $23.93 to $25.00 per hour.
