Position Summary
The National Domestic Workers Alliance (NDWA) seeks a skilled, high-energy Executive Assistant to deliver extensive administrative and logistical support to the Chief External Affairs Officer (CEAO) and Chief Strategy and Impact Officer (CSO). The CEAO supervises the Development, Communications, and Digital divisions, while the CSO leads Strategy and Impact, Product, and Data teams. This role demands proactive planning, organization, and partnership to maximize executives' time and maintain smooth operation of a dynamic, multi-faceted workload.
Primary Duties
- Oversee and manage calendars and appointments for the CEAO and CSO, balancing competing priorities among multiple teams and applying sound judgment in time allocation.
- Handle confidential matters, assist in enacting management policies, and support documentation related to personnel and bargaining strategy.
- Anticipate scheduling conflicts to preserve and optimize executive availability.
- Arrange complex travel plans and itineraries and ensure timely, accurate expense reporting.
- Manage incoming correspondence, prioritize emails, maintain confidentiality, and provide reliable follow-up.
- Act as liaison and primary contact point for internal and external stakeholders on behalf of the executives.
- Prepare materials for meetings, document notes and action items, and organize logistics for meetings, retreats, and events.
- Maintain contact databases, files, and digital records while supporting executive office information management.
- Deploy a proactive and solution-focused approach to problem-solving, tracking deadlines, and coordinating priorities across the External Affairs department.
- Engage in organization-wide functions such as retreats and all-staff assemblies.
Qualifications
- Proven experience independently supporting senior or C-suite leadership as an Executive Assistant or equivalent administrative professional.
- Expertise in calendar management, complex travel booking, expense preparation, and executive protocols.
- A warm, energetic, optimistic attitude fostering a growth mindset and solution-driven problem resolution.
- Exceptional organizational abilities and attention to detail with skill in multitasking in a fast-changing environment.
- Excellent written and verbal communication, with diplomacy, discretion, patience, and confidentiality.
- Proficient with Google Workspace, including Calendar, Docs, and Sheets.
- Located in the Eastern or Central U.S. time zones with the ability to work standard 10 a.m. to 6 p.m. ET hours.
- Capable of working independently and collaboratively within a motivated, expanding team.
- Alignment with NDWA’s mission and values, with an understanding of challenges impacting low-wage workers, immigrant populations, and communities of color.
Additional Information
- Employment is full-time, exempt status, with a salary range of $66,950 to $75,000 annually.
- Position is fully remote within the United States.
- Target start date is summer 2026, ideally by August.
