Role Overview
In this position, you will support an executive through administrative, clerical, and personal assistance so their calendar, travel, meetings, and communications run smoothly. The work involves handling sensitive and highly confidential matters, coordinating domestic and international travel, and arranging executive leadership, company, and community meetings, including logistics, accommodations, materials, and facilities.
Key Responsibilities
You will organize and prioritize multiple tasks with limited direction, process expense reports accurately and on time, and ensure spending is allocated correctly against budgets. You will also manage executive calendars, resolve conflicts, and handle meeting details such as locations, audio/video setup, meals, and related logistics.
The role also involves frequent interaction with external customers, agencies, and potentially media contacts, so a polished and professional approach is essential. You will maintain ongoing relationships and communications for the executive, monitor the itinerary closely, identify urgent messages that require attention, and help interpret requests and prepare responses.
Additional duties include preparing executive-level reports and data summaries, supporting internal, community, and headquarters communications, and making travel and lodging arrangements for the executive and visiting guests. You may also schedule appointments and meetings, help maintain positive relationships through thank-you notes and approved gestures such as flowers, and participate in projects or committee work as needed.
General office support is also part of the job, including supplies management, event organization, office upkeep, and other general affairs tasks. You will help maintain network access, applications, and printing, and address connectivity issues for the chief executive when needed.
Skills and Qualifications
A bachelor’s degree and at least 4 years of executive assistant experience supporting C-level leaders and staff are required. You should be comfortable creating executive presentations using common PC tools such as word processors, spreadsheets, graphs, tables, and PowerPoint.
The role calls for strong relationship-building skills with executives, internal teams, community contacts, and industry stakeholders. You must be able to communicate clearly in both spoken and written form, and be able to read, draft, prepare, and interpret executive documents, presentations, contracts, and related materials. Discretion is critical, as you will work with confidential and sensitive information.
Preferred Qualifications
Helpful attributes include the ability to collaborate across all levels of the organization and outside it, manage competing priorities, review detailed product development, marketing, and media materials, and work independently or in teams to meet deadlines and business goals. You should also be able to define tasks from objectives that may not be fully detailed. Bilingual Korean/English ability is preferred.
Physical, Mental, and Working Conditions
This job is performed in an office setting. It involves extended computer use and screen time for roughly half of the workday, as well as occasional movement or transport of equipment, usually under 25 pounds.
Work may involve periodic or cyclical pressure, time-sensitive stress, fatigue, unpaid overtime, intellectual challenge, constant technical feedback, language barriers, and business-management pressure. The role uses standard office equipment such as PCs, printers, and similar tools. You may also be expected to work additional hours beyond the normal schedule and operate with minimal direct supervision while handling highly confidential company information.
