Role Summary
The Remote Administrative Assistant handles incoming communications such as calls and emails, provides information about programs, and directs inquiries to the correct departments. The role involves verifying client information, facilitating interdepartmental communication, and maintaining professionalism and confidentiality while assisting clients and their families.
Key Responsibilities
- Respond promptly and professionally to incoming phone calls, emails, and inquiries from families, referral sources, and stakeholders with empathy.
- Offer general information about programs, clarify admission or referral procedures, and answer questions as applicable.
- Verify client records, including admission status, appointment scheduling, clinician assignments, and discharge plans, when authorized.
- Redirect callers to the appropriate staff or department when unable to directly address a query.
- Collect accurate information and ensure timely follow-up communication as required.
- Maintain composure and a solution-oriented approach, especially during sensitive or emotional conversations.
- Document calls, messages, and follow-ups in electronic health or customer management systems accurately.
- Log contact details, call outcomes, and follow-up activities meticulously.
- Collaborate effectively across departments such as admissions, clinical, medical, and billing to maintain consistent communication.
- Keep current with programs, services, and relevant points of contact within all service areas.
- Uphold discretion and confidentiality regarding all company-related information.
- Complete all mandatory training specified by the company and accrediting/licensing bodies.
- Perform other duties as assigned.
Qualifications
- Minimum education requirement is a high school diploma; a bachelor’s degree is preferred.
- Prior experience in administrative roles is advantageous.
- Experience in behavioral healthcare is desirable.

- Excellent verbal and written communication skills, with the ability to engage empathetically and professionally.
- Proficiency in data entry and quick adaptation to electronic systems.
- Strong organizational skills, meticulous attention to detail, and reliable follow-through within remote work settings.

Physical and Work Environment
The role involves prolonged sitting, talking, and hearing. Tasks include using hands and fingers for computer, keyboard, telephone, and office equipment operation. Visual focuses are necessary for administrative duties and system use. Occasional standing, walking, reaching, and light lifting (up to 10 pounds) may be required.
This is a remote role executed primarily in a home-office environment with regular use of standard office technology. Noise levels are generally low. Occasional travel to company sites or meetings may happen, involving possible exposure to communicable diseases or sensitive client situations.
