About the Role

The Clinical Operations Administrative Assistant supports the leadership team with day-to-day operational and administrative coordination. The position acts as a central point for provider onboarding and offboarding, communication support, meeting and training logistics, system access tracking, and routing work to the appropriate internal teams.

This is an execution-focused role that follows established procedures and leadership direction. It does not involve making clinical decisions, scheduling decisions, credentialing decisions, or HR policy decisions.

Key Responsibilities

  • Manage provider onboarding from the hiring stage through handoff, including tracker updates, welcome messages, collection of required paperwork, access request submission, training coordination, calendar invitations, completion tracking, and escalation of any missing items before final review by the Clinical Manager.
  • Handle provider offboarding once a departure is confirmed by coordinating with cross-functional partners, issuing termination-related communications such as collaboration agreement cancellations, supporting IT with access removal, and documenting each completed step.
  • Oversee access requests and status tracking across systems such as Provider Portal, Elation, Slack, pharmacy portals, and lab portals; follow up on pending items, assist with basic access questions, escalate technical problems to IT, and enter approved license information into the relevant systems.
  • Prepare and send internal and provider communications on behalf of leadership, including announcements, reminders for meetings and trainings, and updates to workflows or policies, while keeping message templates current.
  • Coordinate provider meetings and training events by creating agendas and calendar holds, working with vendors for demos, tracking attendance, sharing recordings, and following up on next steps.
  • Keep operational documents current, including trackers, SOPs, checklists, and reference materials; compile leadership summaries and reports; and maintain visibility into provider readiness, access progress, and training completion.
  • Act as an initial contact for provider questions and operational routing, directing issues to the correct teams such as Scheduling, Credentialing, Pharmacy, IT, and RCM, and assist with logistics for special projects as needed.
