Position Summary
The Accounting Assistant will provide key financial and administrative support throughout various construction projects, starting from project initiation until final completion. This role includes comprehensive project accounting tasks such as processing invoices from subcontractors and general conditions, job costing, lien waiver tracking, and compiling monthly payment applications. You will monitor project expenses including labor, materials, and other incurred costs versus revenue and profitability to aid in financial decision-making, as well as analyze financial data and generate reports. Participation in annual budgeting and forecasting activities is also required.
Key Duties and Responsibilities
- Lead financial management for a major project by recording daily financial transactions, including general ledger updates to assist monthly statement preparation and reconciliations.
- Input all project-related data into accounting systems for accurate and timely job cost tracking, covering owner and subcontractor change orders, billings, budget adjustments, and invoices.
- Handle general accounting responsibilities for an off-site satellite office.
- Collaborate with Project, Operations, and Engineering teams to gain a thorough understanding of project costs.
- Continuously assess and improve financial workflows and processes.
- Support Project Managers in preparing and monitoring project budgets.
- Assist in developing monthly financial forecasts.
- Manage month-end close activities and reporting, including bank reconciliations.
- Prepare cash flow and revenue projections.
- Generate and evaluate operating and financial reports monthly.
- Help Project Managers with progress billing, change orders, and subcontractor oversight.
- Manage accounts payable and receivable functions.
- Process all project-related invoices and track holdbacks.
- Complete and submit required government reports.
- Update management on project funding statuses.
- Use accounting software for project setups, account creation, and budget updates.
- Provide assistance with year-end closing.
- Perform additional duties as assigned.
Qualifications
- Minimum of 2 years' accounting experience within real estate development or construction industries.
- Bachelor's degree or college diploma in finance or accounting.
- Proficient knowledge of accounts payable and accounts receivable.
- Experience with percentage-of-completion accounting for construction contracts is preferred.
- Strong skills using accounting software, particularly QuickBooks.
- Advanced Excel capabilities (testing required).
- Excellent verbal and written communication skills.
- Leadership experience is a plus.
Language Requirements
- Fluency in English.
- Mandatory proficiency in Mandarin.
Employment Details
This is a full-time position, Monday to Friday from 9:00 AM to 5:30 PM, based at the head office in Markham, ON. Salary will be negotiated personally and will depend on experience.
