Role Overview
The Senior AI, Systems & Automation Specialist will spearhead the implementation and management of AI-driven solutions, automation, and integrated technology platforms within the UK operations and the India Head Office. This role demands a high level of intelligence, technical expertise, and business acumen to create scalable, secure, and efficient systems that drive operational improvements and reduce manual workload.
Key Responsibilities
- Identify and implement practical AI applications that enhance business processes.
- Design AI-supported workflows to boost accuracy, speed, and decision-support mechanisms.
- Develop and maintain automated workflows using n8n that connect internal and external platforms, APIs, and AI services.
- Utilize Supabase for database management including application development, user authentication, and secure data handling.
- Establish PostgreSQL data structures with appropriate relationships and access controls.
- Create internal tools and lightweight applications to optimize head office and store operations.
- Integrate systems via REST APIs, webhooks, and other approved connectors.
- Evaluate and deploy generative AI models, AI agents, and language models for relevant business processes.
- Develop and maintain controlled AI prompt workflows ensuring human review to prevent erroneous actions.
- Administer Microsoft 365 services including user licenses, Teams, SharePoint, and Outlook.
- Build solutions using Power Automate, Power BI, Power Query, and advanced Excel capabilities.
- Manage Monday.com boards, dashboards, ticket workflows, and automations for operational tracking.
- Provide technical administration for additional operational platforms such as Cashbook and Taqtics.
- Map and optimize existing processes prior to automation; eliminate redundant steps.
- Diagnose and resolve system issues by conducting root cause analysis rather than applying temporary fixes.
- Test and validate new technical and AI deployments, maintaining rollback procedures.
- Document all systems, integrations, workflows, credentials, and technical changes comprehensively.
- Train staff on effective and responsible AI and system usage.
- Monitor performance metrics of workflows, detect failures, safeguard data quality, and manage security risks.
- Measure benefits including time savings, cost reductions, error mitigation, and control enhancements driven by automation.
- Continuously research and recommend emerging AI and automation technologies with clear business advantages.
Qualifications and Experience
- Over 10 years of professional experience in systems, software, technology, data management, or automation fields.
- Proven practical experience implementing AI in business processes and developing AI-assisted workflows and applications.
- Expertise using n8n for workflow automation and system integrations.
- Strong background with Supabase, PostgreSQL, or similar backend database platforms.
- Experienced in database architecture, API integration, user authentication, and permissions management.
- Proficient with generative AI tools, AI agents, and prompt engineering techniques.
- Advanced Microsoft 365 administration skills.
- Hands-on experience with Power Automate, Power BI, Power Query, and advanced Excel functionalities.
- Familiar with the administration of workflow management platforms like Monday.com.
- Excellent problem-solving skills including technical troubleshooting and root cause analysis.
- Knowledge of cybersecurity principles, data confidentiality, and access control protocols.
- Ability to translate ambiguous business needs into practical technological solutions.
- Experience with international business operations (UK, Europe, US, Australia) is highly advantageous.
- Proficiency in spoken and written English.
- A technical degree or equivalent professional expertise is preferred.
