Role Overview
As a Sales Operations Senior Executive within the Asia Sales Operations team, you will be responsible for managing the complete lifecycle of sales orders across Asia's distributor and commercial networks. This role entails supporting the processing of sales orders from distributors and channel partners—from order receipt through to delivery execution, managing disputes or returns, and generating performance reports. You will collaborate closely with Commercial Planning, Finance, Operations, and 3PL warehouses to maintain precise master data, ensure compliance in order processing, and provide an exceptional distribution experience.
Key Responsibilities
- Manage processing of both back-catalog and new-release sales orders for distributors and commercial partners; review, validate, and ensure compliance with order requirements.
- Serve as the primary contact for order administration during planner absences to guarantee uninterrupted service.
- Handle exceptions in electronic data interchange (EDI) and order transmission by investigating errors, coordinating resolutions, and confirming re-processing.
- Maintain purchase order documentation, pricing and assortment lists, and presell SKU setups to ensure system data accuracy.
- Coordinate outbound operations with 3PL warehouses by creating delivery schedules, verifying dispatch readiness, and meeting launch demands for Asia distributor launches.
- Manage distributor and transport bookings, collaborating with distributors, key accounts, and freight forwarders for shipment scheduling.
- Partner with Master Data Governance (MDG) teams to maintain operational consistency and act as the primary backup for distributor data workflows during high volume periods or staff absences.
- Support monthly demand and supply planning by updating production orders and inventory data within the Rolling Forecast to aid commercial team alignment.
- Oversee rework order scheduling aligned with new product launches to ensure timely inventory availability.
- Manage distributor disputes and returns by addressing order inquiries, processing returns, and handling damaged stock recoveries with freight partners.
- Lead initiatives to improve operational processes and support system upgrades, such as SAP and SharePoint implementations in collaboration with cross-functional teams.
- Develop and maintain KPI reports covering order turnaround times, order aging, and launch readiness; deliver insights and recommendations for corrective actions.
- Maintain product serial number records for end-customer registration to ensure traceability for warranty and service purposes.
- Coordinate Free Trade Agreement (FTA) processing for active shipping lanes, ensuring proper documentation and certificates of origin for preferential duty qualifications.
Desired Qualifications and Experience
- More than six years of experience in Sales Operations or Sales Administration, especially supporting distributor and channel partner networks in South Asia.
- Proven expertise in managing end-to-end order processes including compliance checks and backorder management.
- Experience working hands-on with ERP and order management platforms such as SAP and familiarity with EDI systems and troubleshooting.
- Strong knowledge of outbound logistics including coordination with 3PL warehouses and management of transportation booking processes.
- Demonstrated ability to resolve disputes and returns with escalation management and root cause analysis skills.
- Excellent analytical skills with a history of defining KPIs, reporting, and producing actionable insights to enhance operations.
- Effective communication and stakeholder management skills with the ability to influence and mentor team members across functions.
- Highly self-motivated, able to handle multiple priorities independently and drive enhancements within established policies.
Preferred Attributes
- Experience supporting automation platforms and sales operations system integrations like SAP and SharePoint.
- Exposure to master data governance and quality control processes.
- Background in continuous improvement methodologies such as Lean or Six Sigma applied to sales operations or supply chain management.
- Prior experience in consumer electronics, gaming, or fast-paced environments with new product launches.
