What the job involves
This role acts as a central contact for Hoag's Centralized Patient Service Center, helping patients arrange and manage appointments across multiple diagnostic and specialty services. The position covers CT, MRI, mammography, bone density (DEXA), X-ray, ultrasound, laboratory, nuclear medicine, pulmonary, vascular, surgery, labor & delivery, physician scheduling, and general radiology call support.
You will handle a fast-paced stream of inbound interactions, providing accurate, efficient, and empathetic service while booking, changing, canceling, and confirming appointments. The work also includes answering questions, checking order and referral details, following client protocols, and documenting every interaction correctly in the required systems.
Responsibilities
- Receive inbound and outbound calls and messages to support scheduling for diagnostic imaging and related services.
- Book, move, cancel, and confirm appointments across imaging and specialty lines such as CT, MRI, mammography, DEXA, X-ray, ultrasound, lab, nuclear medicine, pulmonary, vascular, surgery, labor & delivery, radiology physician scheduling, and general call support.
- Answer patient questions about service availability, preparation instructions, insurance verification, and basic service details.
- Record appointment data, patient notes, and interaction outcomes accurately in the relevant platforms.
- Check patient orders, referrals, and provider instructions to ensure scheduling follows approved workflows and guidelines.
- Use several systems at once, including scheduling tools, CRM platforms, and communication software, while keeping work accurate and efficient.
- Coordinate professionally with patients, providers, and internal teams to resolve scheduling issues and support care delivery.
- Show empathy, active listening, and professionalism throughout the patient experience.
- Work within established call flows, knowledge bases, and operational procedures.
- Recognize patient needs and take appropriate steps to resolve concerns and meet service expectations.
- Maintain productivity, quality, attendance, and schedule adherence in a high-volume contact center setting.
- Follow HIPAA rules and all privacy and security requirements without exception.
- Complete required training, including modality-specific training for imaging services.
- Participate in coaching and apply feedback to improve performance and service quality.
- Carry out additional duties as assigned.
Requirements
- High school diploma or GED is required.
- At least 6 months of experience in a healthcare contact center, patient access, or customer service environment is preferred.
- Hands-on experience scheduling medical appointments in a healthcare setting is required, ideally in diagnostic imaging, specialty care, or multi-department scheduling.
- Prior work-from-home experience in a private, secure, distraction-free setup that meets HIPAA and company privacy standards is required.
- Strong speaking and telephone communication skills, with the ability to remain empathetic and professional.
- Solid understanding of contact center metrics such as adherence, quality, and service levels, aligned with scorecard and Remote Work Agreement expectations.
- Ability to follow assigned schedules within the program.
