The Project Buyer position involves collaborating extensively with hardware, integration, and logistics partners alongside internal teams to facilitate accurate project quotations, ensure timely deliveries, and maintain profitability on projects delivered to manufacturing setups or through strategic alliances.

This role requires setting up and managing procurement, logistics, and inventory processes that support the organization’s scaling growth. It also engages contract negotiation and management, contributing to pricing and onboarding activities. This hybrid remote position reports to the Manager of Delivery & Integration, with preference for candidates able to provide on-site assistance in Fredericton, New Brunswick.

Key Responsibilities

• Prepare and maintain comprehensive procurement plans to align purchase order placements with project schedules, budgets, delivery requirements, and risk mitigation targets.
• Provide regular updates on procurement status to project and leadership teams.
• Oversee management of approved vendor lists and maintain necessary supplier documentation such as NDAs, credit files, and agreements.
• Issue purchase orders, monitor acknowledgements and changes, resolve invoice discrepancies, track supplier progress, expedite orders as needed, and collaborate with project management to leverage commercial negotiations and communication.
• Lead requests for quotations (RFQs), direct price and service negotiations to meet cost objectives, and negotiate contracts when necessary, seeking volume-based cost reductions.
• Address supplier quality and delivery issues promptly, ensuring cost recovery when applicable and driving on-time delivery performance through risk anticipation and escalation.
• Coordinate customs and logistics operations involving logistics partners, freight forwarders, and customs authorities primarily across Canada, the US, Mexico, and the EU, potentially extending to other regions.
• Advance procurement process standardization and continuous improvement initiatives.
• Monitor supply chain risks continuously and develop alternate sourcing contingency plans.
• Forecast procurement expenditures by project and supplier in cooperation with project teams and finance.
• Manage indirect procurement activities including office supplies, packaging, lab equipment, contract services, third-party software vendors, and logistics/customs providers with corresponding forecasting.
• Maintain accurate inventory oversight at Eigen’s office/warehouse and partner locations housing production and demonstration hardware, including coordination of annual physical inventories.

Candidate Profile

• Background in procurement generally from industrial or automation equipment environments is desired.
• Ability to prioritize and manage multiple internal and external stakeholder requirements independently and effectively.
• High attention to detail for creating comprehensive documentation and reports.
• Strong analytical and problem-solving skills, with the ability to communicate clearly.
• Capable of influencing stakeholders within team-oriented settings.
• Experience working collaboratively with vendors.
• Fluent in English, with additional languages considered advantageous.
• Willingness to travel up to 10% of the time.
• Physical capability to handle occasional lifting of packages up to 30 pounds related to order fulfillment.
