Position Overview
The Project Administrator role supports the project management team by delivering essential administrative and operational assistance throughout project lifecycles. Acting as a pivotal coordinator among project managers, team members, and stakeholders, this position ensures streamlined and efficient project operations across EMEA and APAC regions through a proactive and detail-focused approach.
Key Responsibilities
- Maintain comprehensive project documentation including schedules, budgets, risk registers, progress reports, quality plans, and issue logs.
- Organize and schedule project-related meetings such as kick-offs and progress reviews, preparing structured agendas and accurate minutes.
- Assist project managers in drafting and overseeing project plans, scopes of work, and resource management.
- Serve as the central communication contact among internal teams, suppliers, subcontractors, and clients regarding project matters.
- Support preparation and administration of procurement and invoicing processes linked to projects.
- Track project milestones and generate consistent status updates for stakeholders.
- Manage project management systems and tools to maintain data accuracy and accessibility.
- Identify and escalate potential issues or conflicts to project managers promptly, aiding quick resolution.
- Facilitate compilation of project close-out reports, ensuring all project deliverables are thoroughly documented and archived.
- Contribute to PMO process improvements by offering feedback and adopting best practices.
- Provide general administrative support to the PMO and other departments as required.
Candidate Requirements
- Experience in project administration, coordination, or a similar supporting role is highly advantageous.
- Familiarity with project management software such as MS Project, Asana, Jira, or equivalent platforms.
- Exceptional organizational and multitasking abilities with close attention to detail.
- Strong verbal and written communication skills enabling productive interpersonal relationships.
- Proficiency with IT tools including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Innovative, adaptable, and able to work independently as well as collaboratively.
- Academic qualifications or certifications in project management, business administration, or related disciplines preferred.
- Ability to manage confidential information professionally and discreetly.
- Flexibility to travel occasionally for project-related duties or training.
Preferred Additional Skills
- Knowledge of electrical power systems, control systems, or data center operations.
- Understanding of procurement and financial tracking processes.
- Experience working with multinational or cross-regional projects.
