Role overview
This full-time hybrid position supports a respected nonprofit medical association in New York City. The Program Coordinator for Medical Programs is part of the Ethics and Compliance group and helps run clinical guideline development, physician committee work, publication processes, and conflict-of-interest administration. The role works closely with physicians, volunteer leaders, journal editors, and internal teams to keep several programs moving smoothly and to support evidence-based healthcare education and patient care.
What you'll do
- Manage several medical program and clinical guideline projects from start to finish, including schedules, milestones, committee coordination, and ongoing communication.
- Plan and support physician committee meetings, webinars, conference sessions, and virtual meetings by handling scheduling, invitations, agendas, materials, and event logistics.
- Oversee publication-related workflows by tracking document submissions, routing manuscripts, supporting peer review, and communicating with journal editors.
- Support conflict-of-interest disclosure processes for physicians, volunteers, and committee members while keeping records confidential and helping with reporting and data tasks.
- Keep project files, databases, invoices, reports, and workflow trackers current, organized, and accurate.
- Partner with internal departments, volunteer leaders, vendors, and marketing staff to support program rollout, guideline distribution, educational efforts, and ongoing process improvements.
Qualifications and experience
- A bachelor’s degree plus at least 2 years of experience in program coordination, project coordination, healthcare administration, nonprofit administration, association management, medical education, or a similar area.
- Proven ability to juggle several active projects at once while staying on top of deadlines and competing priorities.
- Strong organization, writing, speaking, and people skills, with a careful eye for detail.
- Comfort using Microsoft Office, Zoom, and Salesforce; experience with Monday.com, SurveyMonkey, ScholarOne, project management tools, or similar platforms is preferred.
- Willingness to travel around 1 to 2 weeks per year for conferences and organizational meetings.
Compensation and benefits
- Salary range: $72,000 to $78,000 per year.
- Hybrid schedule with two remote days each week.
