Overview

The Infectious Diseases department is seeking a meticulous and proactive Program Coordinator to support its clinical and academic activities. This individual will operate in a fast-paced environment, initially working onsite for six months before transitioning to a hybrid schedule. The role requires excellent communication, coordination, and project management abilities to serve as a central liaison between Infection Control, clinical teams, research personnel, and fellowship program stakeholders.

Key Responsibilities

  • Oversee administrative duties supporting Infection Control programs, including event planning and function coordination.
  • Act as the primary contact point among various departments and external partners for daily program operations and administration.
  • Organize seminars, meetings, and special projects, facilitating problem resolution and coordination among staff, consultants, faculty, and volunteers.
  • Manage documentation, correspondence, report generation, and purchasing processes.
  • Supervise and train junior staff, volunteers, and interns as appropriate.
  • Maintain comprehensive filing systems for educational appointments and ensure fellowship program compliance.
  • Support the Clinical Programs Manager and Fellowship Program Director with administrative tasks, including scheduling and research protocol submission.
  • Prepare and submit manuscripts and handle clinical scheduling communications.
  • Anticipate program needs and lead strategic planning efforts towards program growth and success.
  • Assist with budget preparation, monitoring expenditures, compiling clinical activity reports, and managing procurement records.
  • Support professional billing activities and process departmental billing errors.

Qualifications and Experience

  • Bachelor's degree in Business Administration or related field is required; Master's degree preferred.
  • Minimum of 3 years experience in project/program coordination or 1 year with a Master's degree is required; substituted experience accepted on a one-to-one basis.
  • Preferred: 5 years administrative experience, including 2 years in supervisory or managerial roles within a patient care environment.

Work Schedule and Conditions

  • Work hours are Monday through Friday, 7:30 a.m. to 4:30 p.m.
  • Initial mandatory onsite presence for six months for training, followed by a hybrid work schedule.

Compensation and Benefits

  • Salary range: $53,000 to $79,000 annually, with a midpoint of $66,000.
  • Exempt position without overtime eligibility.
