About the Role
This permanent position is based in Wellington and offers the chance to join a supportive Administration Services team. As a Personal Assistant, you will play a crucial role supporting senior leaders across the NZ Transport Agency – Waka Kotahi. In this dynamic and diverse role, resilience and open communication are essential. You will gain opportunities for professional growth and work alongside various managerial styles within different business groups.
Your daily tasks will be varied and rewarding, involving management of complex diaries and email correspondence, organizing meetings and travel arrangements, preparing documents and presentations, assisting with stakeholder engagement, and ensuring smooth business operations. Building strong relationships across the organization while delivering excellent service will be a key part of your duties.
Candidate Profile
The ideal candidate is proactive and adaptable, able to navigate a fast-paced environment, foreseeing challenges and finding solutions. Confident interaction with senior leaders, juggling multiple priorities, and maintaining strict confidentiality when handling sensitive information are vital to success in this role.
Key Responsibilities
- Manage diaries and email inboxes of senior leaders efficiently.
- Coordinate meetings, travel plans, and other logistical arrangements.
- Prepare high-quality documents, reports, and presentations.
- Support stakeholder engagement activities and assist with maintaining business processes.
- Facilitate effective communication and foster relationships with colleagues and stakeholders.
Essential Skills and Experience
- Proven experience in a senior administrative or personal assistant position.
- Expertise in diary and inbox management for senior executives.
- Strong organizational, planning, and prioritization capabilities.
- Ability to perform accurately under pressure with close attention to detail.
- Exceptional communication and relationship management skills.
- Advanced proficiency in Microsoft Office applications.
- A mindset focused on continuous improvement and finding better ways to work.
- Professional judgment, discretion, and tact in handling confidential matters.
- Strong collaboration skills with the ability to build effective working relationships across a large organization.
A knowledge of, or willingness to learn about, Te Ao Māori, tikanga and Te Reo Māori, as well as an appreciation of te Tiriti o Waitangi as it applies within the public sector, is desirable.
