Position Overview
The Office Support Coordinator is pivotal in ensuring smooth daily office operations and delivering administrative assistance within the Commercial department. The role requires strong organisation, attention to detail, and the ability to juggle multiple priorities efficiently while upholding professional standards in a dynamic FMCG environment.
Key Responsibilities
- Serve as the primary contact for general office inquiries.
- Assist in organizing company events, team meetings, and internal activities.
- Manage and coordinate day-to-day administrative functions across the Commercial division.
- Maintain accuracy and currency of all commercial documentation, trackers, and shared files.
- Support sales cycles planning, customer engagement, and commercial projects.
- Arrange meetings including agendas, recording actions, and ensuring follow-ups.
- Be the central administrative resource for the Commercial and Category teams.
- Handle daily office management tasks and ensure office systems and records are maintained effectively.
- Oversee procurement and coordination of office supplies, equipment, and facilities.
- Liaise with external suppliers and service vendors to guarantee efficient office operations.
- Coordinate meeting rooms, visitor protocols, and hospitality needs.
- Assist with onboarding new employees by arranging workspace and equipment.
- Generate daily, weekly, and monthly business reports and maintain dashboards.
- Analyze data trends and escalate issues as needed, ensuring timely and accurate report delivery.
- Work proficiently with Microsoft Excel and other business reporting platforms.
- Provide support for sales performance reports, promotional tracking, and customer data.
- Develop strong interdepartmental relationships to promote smooth collaboration.
- Manage communication flow between departments to ensure clear and timely sharing of information.
- Prepare and disseminate meeting agendas, minutes, and action items, tracking outstanding tasks.
- Support senior management with administrative coordination and operational tasks.
Candidate Qualifications
- Proven experience in administration, coordination, or commercial support roles.
- Exceptional organisational and time management capabilities.
- Effective verbal and written communication skills.
- Advanced proficiency in Microsoft Excel.
- High accuracy and keen attention to detail.
- Capable of prioritising multiple deadlines in a fast-moving setting.
- Confident in report creation and data analysis.
- Strong problem-solving skills.
- Self-driven and proactive work ethic.
- Collaborative team player able to foster relationships across departments.
- Experience in FMCG or retail sectors is advantageous.
- Knowledge of sales reporting and promotional administration is preferred.
