Role Overview
The Manager – Administration is charged with overseeing the daily operations of the workplace and facilities to provide a secure, efficient, compliant, and employee-oriented office environment. Responsibilities span office administration, facilities oversight, vendor coordination, workplace services, security, maintenance, compliance adherence, and supporting employee needs.
Key Responsibilities
- Manage daily office facilities including desks, cabins, meeting rooms, and shared spaces, ensuring efficient use of space and readiness.
- Facilitate onboarding and exit processes with workspace arrangement and clearance activities.
- Collaborate with HR to improve employee workplace experience and engagement programs.
- Organize events such as townhalls, leadership meetings, engagement initiatives, and corporate functions.
- Supervise outsourced staff and vendors, ensuring service quality, productivity, and adherence to service level agreements.
- Manage housekeeping, pantry services, security, pest control, and other support services.
- Oversee cafeteria operations focusing on hygiene, vendor performance, and gathering employee feedback.
- Ensure compliance with statutory, administrative, and company regulatory requirements, coordinating with authorities and regulatory bodies for approvals, inspections, and audits.
- Handle budgeting by overseeing vendor invoicing, expense tracking, cost control, and preparation of MIS reports and dashboards for management review.
- Oversee safety protocols including fire safety systems, emergency readiness, mock drills, and overall regulatory compliance.
- Manage physical security controls such as access management, CCTV monitoring, and visitor access.
- Coordinate preventive maintenance activities and ensure timely resolution of facility issues.
- Maintain asset and inventory stocks through regular audits and ensure availability of consumables.
Qualifications & Experience
- Graduate or postgraduate qualification in Administration, Facilities Management, Hospitality, Operations, Business Administration, or related disciplines.
- Professional experience ranging from 2 to 4 years in domains such as Administration, Facilities Management, Workplace Operations, Corporate Services, or Office Management.
- Demonstrated proficiency in facility operations, vendor oversight, office administration, and employee support services.
- Familiarity with security, maintenance, regulatory compliance, and managing contract staff is preferred.
- Experience handling corporate office environments with multiple vendor relationships is an advantage.
