Job Overview
The role involves overseeing and assisting in the management of facilities and engineering services operations, collaborating with various outsourced service providers. The core aim is to establish and maintain robust management systems that ensure a safe, secure, and high-performing environment across the property.
Main Responsibilities
- Formulate, align on, and execute optimal building operation plans for designated assets.
- Carry out inspections of facilities and equipment to determine service and maintenance requirements.
- Create and update standard operating procedures, reactive and preventive maintenance programs, alongside all technical documentation.
- Lead and supervise teams, managing staff allocation and staffing strategies effectively.
- Oversee maintenance contracts, make-ready preparations, and third-party specialist services management.
- Promote a safe working environment empowering site staff to enhance service efficiency and productivity.
- Generate monthly engineering and weekly site walk-around reports.
- Manage coordinators and assistant supervisors to ensure smooth site operations and administrative tasks.
Health, Safety, and Security Obligations
- Adhere strictly to all company health, safety, and environmental policies, as well as applicable legal standards.
- Stay informed and compliant with updates in safety protocols issued by the company’s HSE department.
- Observe information security policies including completing security awareness training, safeguarding sensitive data, maintaining OS firewall and antivirus protections, and responsible management of user accounts.
Required Skills and Experience
- Proficiency with MS Office tools and project management software.
- Experience leading business service teams, including staff allocation, performance management, and career development.
- In-depth understanding of health, safety, and environmental responsibilities.
- Operational, commercial, and financial insight into client contracts.
- Ability to translate client needs into actionable plans and execute them efficiently.
- Strong communication and interpersonal skills for stakeholder consultation.
- Excellent report writing skills and relationship management with clients and suppliers, including networking abilities within the FM industry and retail sectors.
Professional Experience
- Between 4 to 8 years in facilities management or related industries, including property handover, tenant movements, project management, and third-party inspections.
- A cumulative 10 years of expertise in integrated facilities management, operation management, property handovers, project engineering, and training management.
- Knowledge of workplace health and safety standards, risk management, permit-to-work systems, and water treatment.
- Experience managing residential, commercial, and retail properties.
- Proven track record in supplier relationship management and handling both B2B and B2C engagements.
