Role Summary
The Machine Down Support Officer will manage the entire process for Machine Down orders, from initial quotation requests to ensuring delivery. This includes overseeing order execution, sourcing alternatives when necessary, and securing the fastest delivery methods. The role demands availability seven days a week, including after-hours work on a rotational basis.
Work Schedule
- Rotational shifts: Week 1 from 10:30 to 19:30, Week 2 from 08:30 to 17:00.
- Rotational standby coverage on weekends.
- Remote standby on public holidays and weekends with specific hours.
- Standby duties are remote, permitting work from home or another appropriate location.
- When on 08:30–17:00 shift weeks, weekend standby is not required; during 10:30–19:30 weeks, weekend standby is part of rotation.
Key Responsibilities
- Manage requests from customers promptly according to strict turnaround times (TAT).
- Receive and process requests for quotations anytime from direct customers.
- Prepare formal quotations adhering to established deadlines.
- Identify and secure suitable multimodal logistics solutions.
- Provide alternate arrangements if original equipment manufacturer (OEM) parts are unavailable.
- Facilitate clear communication between suppliers, service providers, internal teams, and customers.
- Escalate issues promptly for management attention.
- Ensure timely preparation and processing of transport documentation.
- Manage supplier and service provider invoices to ensure timely handling.
- Maintain business coverage for at least 45 hours per week according to roster.
Qualification and Experience
- Diploma in Supply Chain, Logistics, Sales or Purchasing.
- Minimum of two years experience in supply chain roles.
- Experience specifically in parts supply chain operations is advantageous.
- Fluency in written and spoken English and French is required.
