Role Overview
The Vehicle Logistics Department at VGIE manages the comprehensive supply chain of vehicles, ensuring seamless delivery from global production centers to customers throughout Ireland. This position as Logistics Specialist, reporting directly to the Vehicle Logistics Manager, ensures the smooth operation of vehicle logistics processes, including registration, taxation, dealer support, and the management of third-party logistics performance. The role requires close collaboration with internal teams, external logistics partners, ports, and storage providers to maintain efficiency, cost-effectiveness, and high customer satisfaction. Additionally, the role involves leading special projects and continuous improvement initiatives.
Key Responsibilities
- Serve as the main contact for logistics-related projects within VGIE.
- Coordinate and communicate between external logistics vendors, port authorities, and stevedores.
- Manage the processing of all new vehicle stock, ensuring compliance with control, delivery, and vehicle care protocols.
- Oversee vehicle dispatch and invoicing to dealers, RAC, fleet, and staff.
- Provide support in dealer credit management, including issuing credit notes and refunds as required.
- Assist with end-of-day and end-of-month operational processes.
- Support brand-specific coordination for vehicle movement during new model launches or promotional campaigns.
- Manage vehicle registration activities and Vehicle Registration Tax (VRT) payments, including fund monitoring and replenishment of the VRT bond.
- Handle queries regarding vehicle registrations and documentation such as ECOC documents and birth certificates; update records and dispatch Certificates of Conformity (COCs) to dealers.
- Monitor and report on logistics service provider performance using Key Performance Indicators (KPIs).
- Process purchase orders and approve invoices related to logistics services.
- Prepare and present monthly KPI reports to automotive brands represented in Ireland.
- Support registration activities for ECO, COC, staff purchase vehicles, and RAC vehicles.
- Manage the payment of road tax for VGIE company vehicles.
Candidate Requirements
- Possess a relevant degree or professional qualification in Logistics, Business, Finance, or a related field.
- Have at least three years of experience in a similar or related logistics role.
- Demonstrate excellent communication and interpersonal skills.
- Exhibit ability to work independently as well as collaboratively within a team.
- Show strong organizational capabilities with great attention to detail.
- Proficient in Microsoft 365 applications, including Excel, Outlook, and Teams.
Preferred Qualifications (Not Mandatory)
- Experience in the automotive, mobility, or related industries.
- Familiarity with logistics and costing systems.
- Training in the AS400 system.
- Exposure to brand or dealer network operations.
