Job Overview
This role focuses on ensuring efficient, punctual, and cost-efficient execution of export shipments through coordination with various stakeholders such as freight forwarders, transporters, Customs House Agents (CHA), vendors, and internal teams. Responsibilities include management of freight quotations, container bookings, customs clearance, shipment tracking, vendor development, invoice verification, and logistics reporting.
Essential Duties
- Coordinate with freight forwarders to obtain competitive rates, prepare quotations, and finalize shipment arrangements.
- Manage RFQs in the system and support onboarding of around 5 new vendors annually.
- Ensure timely container bookings with freight forwarders and coordinate with transporters and CHA to secure safe and seaworthy containers.
- Manage timely container placement at the factory aligned with the shipment schedule.
- Liaise with CHA to ensure prompt customs clearance and smooth shipment handover.
- Monitor vessel schedules, sailing times, and shipment updates by following up with freight forwarders.
- Track shipments from empty container pickup to final destination under applicable Incoterms.
- Maintain accurate and up-to-date Freight Tracker documentation.
- Validate vendor invoices and forward them to Finance & Accounts for timely processing.
- Maintain records of freight and invoices for reconciliation and tracking.
- Coordinate creation of vendor codes for newly onboarded vendors.
- Compile and prepare management reports related to logistics, freight, shipments, and vendors.
- Ensure smooth communication and coordination across internal teams and external logistics partners.
Eligibility Criteria
- Graduate degree in Commerce, Logistics, Supply Chain Management, International Business, or a related field.
- 2 to 5 years of pertinent experience in Export Logistics, Freight Forwarding, International Shipping, EXIM, or Supply Chain operations.
- Experience with ocean export shipments, containerized cargo, and coordination with freight forwarders, transporters, and CHAs is preferred.
- Proficiency in MS Office, particularly Excel; familiarity with ERP, SAP, or logistics management software is an advantage.
- Knowledge of Incoterms, export documentation, customs clearance, container booking, freight quotations, shipment tracking, and invoice processing is preferred.
- Strong verbal and written communication skills with capability to collaborate effectively with internal and external stakeholders.
