Job description
Role Overview
As a Logistics and Facility Office Manager, you will coordinate and manage transportation between land and ship, handling customs, shipping notifications, and supplier communications. You will also oversee receipts, distribution of deliveries and mail, and manage invoice processing. This position involves overseeing maintenance schedules, liaising with maintenance providers, supervising building technical work, and ensuring the upkeep of meeting, work, kitchen, and public areas at the Berlin location.
Key Responsibilities
- Coordinate reciprocal transports between land and ship, including preparation of freight and customs documentation and communication with suppliers.
- Receive, allocate, and distribute deliveries and mail; handle outgoing parcels and packages.
- Process invoices by reviewing and accounting for incoming bills using accounting software.
- Track inspection and maintenance intervals and, when necessary, coordinate maintenance services in consultation or on behalf of Logistics & Facility Managers.
- Manage and monitor building services work in cooperation with Logistics & Facility Managers.
- Ensure daily orderliness of all test and meeting rooms, public spaces, and kitchens at Berlin office.
- Support internal event organization efforts.
- Develop new processes for the internal quality management system and manage updates and improvements to existing procedures.
- Represent the Office Management in tasks such as key and access control, petty cash management, and ordering office and food supplies.
- Act as a team representative when required.
Candidate Profile
- Completed commercial apprenticeship or equivalent education.
- Desirable experience in office management, assistance, dispatching, or logistics.
- Experience in independent project work, including creating templates and optimizations.
- High self-motivation, independent and structured working style, with strong organizational and prioritization skills.
- Reliability and precision, especially under time or performance pressure.
- Friendly, approachable demeanor with good communication skills and team orientation.
- Enjoy working in a creative or artistic environment.
- Proficiency in MS Office and excellent German and English language skills, both written and spoken.
