Our collaboration extends across hospital owners, medical professionals, administrators, nursing teams, and department leads to enhance patient safety, streamline operations, and elevate documentation standards.
Job Overview
We seek a diligent and meticulous Healthcare Quality & Documentation Executive to support quality enhancement and accreditation projects within hospital settings. The role involves coordinating closely with doctors, administrators, nursing staff, and department representatives to gather necessary data, review hospital workflows, and formulate or update manuals, policies, procedures, and documentation formats as directed by senior consultants.
Key Responsibilities
- Conduct visits to hospitals, engaging with medical, administrative, and nursing personnel as well as other department delegates.
- Gather detailed operational, clinical, administrative, and quality-related information from various hospital units.
- Assess and confirm the accuracy, completeness, and validity of the information obtained from hospitals.
- Systematically arrange the collected data into organized trackers, checklists, and electronic folders.
- Create, revise, and maintain hospital manuals, procedures, policies, forms, and templates based on guidance from senior consultants.
- Translate hospital processes and consultants’ inputs into clear, structured, and professional documentation.
- Maintain comprehensive document control including naming conventions, versioning, approvals, review dates, and other metadata.
- Evaluate existing documents to identify missing elements, inconsistencies, outdated items, or gaps.
- Follow up consistently with hospital representatives for outstanding information, corrections, and approvals.
- Assist in reviewing sample hospital records to pinpoint documentation discrepancies.
- Regularly update project management trackers and report on task statuses, delays, and completions.
- Draft visit summaries, gap analyses, action plans, meeting minutes, and progress reports.
- Support the compilation and organization of accreditation applications, internal audits, and inspections.
- Coordinate with internal consulting teams to ensure timely completion of project deliverables.
- Preserve confidentiality of patient, staff, and hospital information at all times.
- Maintain professional communication through phone, email, messaging apps, and face-to-face meetings with clients.
- Clarify documentation requirements to hospital teams effectively without causing confusion.
- Provide support for training sessions, awareness programs, and implementation efforts as needed.
- Perform additional healthcare quality and documentation tasks as assigned by management.
Qualification and Skills
- Any graduate degree; emphasis on skills over formal qualifications.
- Fresh graduates with solid communication and documentation abilities are encouraged to apply.
- Experience in hospital administration, healthcare consulting, accreditation, or quality assurance is advantageous.
- Excellent oral and written communication capabilities.
- Confident and respectful interaction skills with medical professionals and senior hospital staff.
- Proficient in drafting clear reports, documents, and presentations.
- High attention to detail and accuracy in work.
- Ability to comprehend instructions and transform them into well-structured documents.
- Familiarity with MS Word, Excel, PowerPoint, Google Docs, Sheets, and Drive.
- Effective multitasking and deadline management with multiple documents and trackers.
- Strong follow-up and coordination aptitudes.
- Capacity to work independently during hospital visits.
- Professional demeanor and client-handling capabilities.
- Motivated to learn about hospital quality standards and accreditation criteria.
- Willingness and ability to travel regularly to client hospitals in Chennai, Madurai, and Trichy.
- Proficiency in English and Tamil is preferred.
Preferred Attributes
The suitable candidate is organized, patient, accountable, and comfortable engaging with diverse hospital departments. A willingness to receive feedback and promptly refine documents is essential. Preference will be given to candidates with experience in preparing manuals, policies, procedures, reports, audit documents, presentations, or hospital records.
