Overview
UPMC Ireland is seeking a dedicated Human Resources Administrator to join their team at the MacDonagh Office in Kilkenny. This permanent role focuses on delivering centralized HR administrative support across multiple sites, ensuring operations within the HR department run smoothly and efficiently. As a key HR team member, you will be responsible for tasks that enhance the employee experience, including recruitment support, onboarding, maintaining employee records, managing absence documentation, and ensuring compliance with audit standards.
Key Responsibilities
- Maintain and regularly update accurate employee records.
- Prepare employment contracts for newly hired staff.
- Manage necessary checks including Garda Vetting, background, credential, reference checks, and work permit applications as needed.
- Coordinate employee induction scheduling.
- Serve as the initial contact point for HR-related queries, referring complex issues to HR Business Partners.
- Ensure employee files are complete, legally compliant, and audit-ready.
- Generate reports from HRIS such as data on starters, leavers, sick leave, and current staffing numbers.
- Track and document changes in terms and conditions, keeping HRIS and time & attendance systems updated accurately.
- Maintain organized filing systems continuously.
- Represent HR in cross-departmental meetings when required.
- Assist with data consolidation for audits and accreditation purposes.
- Support payroll processes by verifying relevant records as necessary.
- Help coordinate employee recognition programs and initiatives.
- Manage training records hospital-wide to ensure mandatory training compliance and proper documentation in personnel files.
- Perform additional HR tasks as assigned.
Required Qualifications & Experience
- A minimum of two years’ experience in a busy HR environment.
- Relevant HR qualification, with CIPD accreditation completed or in progress.
- Proficiency in IT applications such as Microsoft Word, Teams, Outlook, and PowerPoint, with ability to visually and creatively present data.
- Strong organizational skills paired with a proactive growth mindset.
- High standards of integrity and confidentiality in all job duties.
- Excellent communication and interpersonal skills, capable of thriving in a fast-paced workplace.
- Meticulous attention to detail and the capability to work independently.
