Position Overview

The Grant and Events Coordinator will manage daily activities related to HATCH's grant programs and associated events. This role ensures organized grant activity management, timely documentation, deadline tracking, and event coordination, reporting to the Chief of Staff. The ideal candidate is methodical, detail-focused, deadline-oriented, and effective at collaborating with internal teams and external partners, facilitating smooth grant processes and mission advancement.

Key Responsibilities

  • Maintain and update grant trackers, calendars, action item logs, contact lists, and documentation files.
  • Monitor deadlines, deliverables, responsibilities, risks, and follow-ups for federally funded grants.
  • Coordinate inputs from various departments including Operations, Finance, Marketing, Programs, and leadership.
  • Prepare agendas, meeting notes, action points, and follow-up summaries.
  • Support organization and management of grant-related files, reports, budgets, partner documentation, and evaluations.
  • Identify missing information, unclear ownership, or risks, and communicate these proactively to the Chief of Staff.
  • Collect program updates, partner details, evaluations, financial documents, and materials needed for grant reports.
  • Assist in assembling draft reports for review by leadership.

  • Document event outcomes, attendance, follow-ups, and capture necessary records for grants and stakeholders.
  • Coordinate meetings and follow-ups with nonprofit partners, food banks, community groups, vendors, funders, and internal teams.
  • Track partner obligations, unresolved questions, documentation requirements, and next steps.
  • Prepare background materials and agendas to support partner discussions.
  • Maintain professional, clear, and consistent communication with all stakeholders.

Required Qualifications

  • 2 to 4 years’ experience in nonprofit operations, grant administration, event or program coordination, or similar roles.
  • Proven ability managing trackers, calendars, documentation systems, meeting records, and follow-ups.
  • Exceptional attention to detail and capability to juggle multiple deadlines simultaneously.
  • Strong verbal and written communication skills.
  • Experience organizing meetings, events, vendor and partner coordination.
  • Comfort handling confidential or sensitive information.

Required Skills

  • Experience supporting federal or government-funded grants and nonprofit compliance reporting.
  • Background in event logistics, community partner convenings, donor or funder meetings.
