Role Overview

ABM UK is seeking a diligent and proactive Fleet Administrator to join their team based in Chesterfield (S44 5HS) with a flexible hybrid/office arrangement as needed. This full-time position operates Monday to Friday for 37.5 hours weekly and offers a competitive salary. The successful candidate will support the efficient, compliant, and cost-effective management of ABM's vehicle fleet, working under the Fleet Manager to assist drivers, managers, suppliers, and external partners.

Key Responsibilities

  • Maintain comprehensive and accurate records of vehicles, drivers, and allocations within fleet management databases.
  • Keep all fleet-related trackers, spreadsheets, and systems current and precise at all times.
  • Oversee fuel card utilization and monitor the fleet-related inbox communications.
  • Manage compliance through driver license verification and administrative checks.
  • Handle accounts related to congestion charges, tolls, parking fees, and other fleet expenses.
  • Process Penalty Charge Notices (PCNs) and manage notices of intended prosecution.
  • Track mileage logs and compile detailed fleet reports.
  • Assist with telematics and vehicle tracking system support.
  • Organize vehicle collections, deliveries, and transfers.
  • Coordinate temporary vehicle hires and replacements as needed.
  • Maintain communication with fleet management providers and external suppliers.
  • Support the handling of vehicle insurance claims and accident management procedures.
  • Raise purchase orders and process associated goods receipt notes.
  • Contribute to FORS accreditation processes and overall fleet compliance activities.

Qualifications and Experience

  • Previous hands-on experience administering fleet operations.
  • Familiarity with commercial vehicle types and fleet operational procedures.
  • Excellent organizational capabilities coupled with strong communication skills.
  • Attention to detail with proven ability to meet deadlines effectively.
  • Proficiency in Microsoft Office suite, particularly Excel for data management.
