About the Role

The Data and AI Adoption team is focused on ensuring successful customer engagement and accelerating impactful business results. They implement innovative data and AI frameworks and solutions that enable full realization of data value through modern Business Data Cloud offerings and the larger Data & AI suite. This team fosters collaboration and a customer-focused approach to transform strategies into ongoing adoption, significant impact, and sustained value.

We are seeking an Executive Business Assistant to support the General Manager of Adoption for Data & AI within the Solution Area Adoption (SAA) Data & AI team.

Primary Duties

  • Provide day-to-day operational management support by preparing, executing, and following up on strategic meetings and engaging with stakeholders.
  • Manage and prioritize the calendar, sorting incoming communication for the manager proactively.
  • Handle internal and external correspondence efficiently.
  • Organize and coordinate team meetings and external events, including room bookings and briefing preparations.
  • Arrange travel logistics such as bookings, expense submissions, visa processes, and follow-ups.
  • Support budget monitoring, portfolio planning, roadmap deliverables, and reporting tasks.
  • Develop and maintain templates, tools, and guidelines to enhance team operations and workflows.
  • Administer workflows, purchase and internal orders, and distribution lists.
  • Prepare and update presentation materials, including PowerPoint and Excel spreadsheets.

Qualifications and Skills

  • A minimum of five years’ experience supporting senior management.
  • Strong networking abilities with connections across all organizational levels in large enterprises.
  • Excellent organizational aptitude and mastery of time management.
  • Proven success communicating effectively with colleagues at various levels.
  • Confidence in engaging with executives both inside and outside the organization.
  • Proficiency in MS Office and enterprise tools such as Corporate Portal, Fieldglass, Ariba, and Concur.
  • Experience in managing events including advisory councils and customer forums.
  • Fluent communication skills in English and German, both verbal and written.
  • Strong command of collaboration platforms such as MS SharePoint, Wiki, and MS Teams.
  • Comprehensive knowledge of HR processes and Manager Desktop tools.
  • Flexibility and readiness to operate across different time zones.
