Role Overview
The Executive Assistant will play a crucial role in supporting the CEO and Executive Board with efficient administrative assistance while operating discreetly in a fast-paced environment. This hybrid role requires presence in the London office with some travel, making it vital to anticipate needs and maintain smooth leadership operations.
Key Responsibilities
- Provide daily administrative support to the CEO and Executive Board members.
- Manage intricate diaries including scheduling meetings, arranging travel and accommodation, and coordinating across multiple time zones.
- Handle inbox management, prioritize communications and ensure prompt responses.
- Prepare meeting agendas, presentations, and decks in advance of events.
- Monitor and drive completion of meeting action items.
- Manage and process CEO expenses efficiently.
- Oversee the Colleague of the Week nomination system ensuring smooth and regular execution.
- Coordinate the Ideas Inbox by organizing and tracking incoming submissions.
- Plan and execute various internal and external events such as monthly operational meetings and one-on-one sessions.
- Arrange field visits for the Senior Leadership Team by scheduling meetings and locations.
- Manage and coordinate induction processes for central team members.
- Anticipate logistical challenges and risks, implementing preventive solutions proactively.
- Serve as a trusted partner to senior leadership, enabling focus on high-priority initiatives.
- Build and maintain strong working relationships across the organization, acting as the CEO’s point of insight.
Candidate Requirements
- Demonstrated experience as an Executive Assistant or senior Personal Assistant.
- Highly organized with excellent attention to detail.
- Capable of managing multiple priorities effectively in a dynamic setting.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office suite and presentation software.
- Professional demeanor with the ability to handle confidential information confidently.
- Proactive problem-solver with a solutions-focused approach.
