Position Summary
Reporting directly to the Chief Financial Officer (CFO), the Executive Assistant will provide comprehensive senior-level support to the CFO and key finance leaders including the VP of Investor Relations and the VP of FP&A and Treasury. Candidates with creativity and adaptability suited to a dynamic setting, meticulous attention to detail, strong organizational proficiency, excellent judgment in complex situations, and capacity to juggle multiple demands are highly preferred. The role demands a professional demeanor when interacting with high-level internal and external stakeholders.
Key Responsibilities
- Managing complex calendars and scheduling for the CFO and other finance executives.
- Anticipating and preparing for the needs of the CFO, senior executives, and the broader finance function.
- Organizing and coordinating events and meetings including internal functions, external engagements, and offsite sessions.
- Arranging travel plans and managing expense reports for the CFO and senior leaders.
- Assisting in the creation and compilation of reports and presentations for meetings with executives, investors, and the Board of Directors.
- Handling sensitive information with utmost confidentiality and discretion.
- Representing RioCan and the CFO’s office with superior communication, follow-through, prioritization, and judgment.
- Performing additional duties as assigned.
Candidate Qualifications
- A minimum of five years progressive administrative experience, including supporting senior executives in a fast-paced, high-volume environment.
- Educational credentials such as a Bachelor's Degree, college diploma, or certification in Executive Office Administration are assets.
- Advanced skills in Microsoft Outlook, Word, and PowerPoint.
- Excellent time management, organization, and prioritization capabilities.
- Strong verbal and written communication skills with a business-oriented approach and meticulous proofing abilities.
- A team player attitude combined with proactive initiative and sound decision-making.
- Exceptional discretion with confidential information.
- Creative problem-solving skills paired with urgency and sound judgment in prioritizing tasks.
Salary & Benefits
The role offers an annual salary range between 88000 and 108000 CAD, reflecting the candidate’s experience and expertise.
