Role Overview

As the Executive Assistant to the CEO, you will offer comprehensive administrative, operational, and strategic support within a dynamic startup environment focused on engineering and scientific challenges. This role demands strong organization and methodical work ethic, with growth potential towards an Operations Manager position.

Primary Responsibilities

  • Manage the CEO’s calendar by scheduling and prioritizing meetings, appointments, and events, proactively resolving conflicts and ensuring readiness.
  • Serve as the CEO’s initial point of contact by managing calls, emails, and correspondence, drafting replies, and overseeing the inbox.
  • Coordinate both domestic and international travel arrangements, including preparing detailed itineraries and handling last-minute changes.
  • Organize logistics for board meetings and client events, prepare relevant agendas and briefing materials, and take comprehensive minutes.
  • Draft, edit, format, and proofread reports, proposals, and presentations using PowerPoint and other tools.
  • Utilize productivity platforms such as Microsoft Office, Google Workspace, ClickUp, and HubSpot to maintain organized filing systems, databases, and CRMs.
