About the Role
Roshel Smart Armored Vehicles is looking to hire a detail-oriented and proactive Executive Assistant to provide pivotal administrative and project coordination support to senior leadership. This full-time, on-site position, based in Brampton, ON L6W4R2, operates during a daytime shift from 8:00am to 5:00pm.
Main Duties
- Manage and organize executive calendars, schedule meetings, arrange appointments, and coordinate travel plans.
- Handle all incoming and outgoing communications including emails, phone calls, reports, and other correspondence effectively.
- Prepare daily agendas, meeting materials, and executive briefings to keep leadership informed.
- Serve as a communication gatekeeper ensuring prioritization and timely follow-ups.
- Act as liaison between executives and clients, vendors, business partners, and internal teams.
- Create presentations, reports, meeting minutes, and various business documents as needed.
- Maintain confidentiality of records and sensitive information with utmost discretion.
- Assist with project planning, coordination, tracking progress, and reporting to meet organizational goals.
- Organize project-related meetings and facilitate communication among different stakeholders.
- Support development of project timelines, objectives, deliverables, and monitor budgets and resource allocation.
- Maintain accurate documentation including reports, action items, and status updates.
- Collaborate with various teams to ensure projects are completed on time and within budget.
- Contribute to continuous improvement efforts and process enhancements.
Qualifications and Skills
- Bachelor's Degree in Business Administration, Project Management, Communications, or a related discipline.
- At least 3 years of relevant experience in executive assistance, project coordination, administrative roles, or similar.
- Proficiency in Microsoft Office applications including Outlook, Excel, Word, PowerPoint, and Teams.
- Excellent organizational and time management abilities to juggle multiple priorities effectively.
- Strong verbal and written communication capabilities.
- Solid problem-solving skills and sound decision-making aptitude.
- Ability to build relationships and interact professionally at all levels.
- Experience supporting senior executives is highly desirable.
- Exposure to or experience with project management is a plus.
- Capable of working professionally and adapting in a fast-paced setting.
