Position Overview
Bicara Therapeutics is seeking a skilled Executive Assistant to provide strategic and comprehensive administrative support to the Chief Commercial Officer (CCO) and Chief People Officer (CPO). Reporting to the CCO, this role requires an experienced professional who thrives in fast-paced growth environments, managing diverse executive support tasks with exceptional judgment and a collaborative spirit. The successful candidate will independently handle priorities, build relationships with essential stakeholders, and exhibit a solutions-driven mindset while maintaining strong organizational skills in a dynamic setting. This position is based in Boston with a hybrid schedule requiring three in-office days weekly.
Key Responsibilities
- Oversee and manage the calendars, meetings, and schedules of the CCO and CPO, effectively prioritizing and resolving any scheduling conflicts to optimize time management.
- Work closely with the Commercial Leadership Team to stay aligned on major priorities, monitor decisions and action items, coordinate stakeholder follow-ups, and support the execution of vital projects.
- Coordinate and arrange domestic and international travel logistics, including handling receipts for reimbursement processes.
- Contribute actively as a member of the Administrative team by proposing agenda topics, leading or engaging in discussions, and collaborating with team members to ensure coverage.
- Exercise sound decision-making to efficiently manage executive calendars, anticipate needs, and allocate sufficient time for meeting preparations and follow-ups.
- Support the onboarding process and growth of new hires, including Boston-based and remote employees.
- Maintain confidentiality and integrity while acting as a trusted advisor, handling sensitive information with tact, diplomacy, and discretion across all employee levels.
- Organize end-to-end logistics for onsite and offsite functional meetings.
- Manage confidentiality agreement execution, tracking, and electronic filing to ensure compliance for external parties and attendees.
- Assist with special projects, conduct necessary research, and maintain records as required.
Qualifications
- Minimum of 5 years’ experience providing executive administrative support, preferably at the C-suite level, with background in Commercial and/or Human Resources sectors favored.
- Proven ability to independently execute administrative tasks swiftly and accurately.
- Strong organizational capabilities and acute attention to detail coupled with excellent follow-through skills.
- Experience managing sensitive and confidential matters with professionalism and discretion.
- Ability to adapt and collaborate effectively across various functions in a fast-moving, demanding workplace.
- Excellent communication skills, both verbal and written, alongside strong interpersonal and relationship-building capacities.
- Demonstrated strong work ethic with effective multitasking and prioritization abilities.
- Proficiency in Microsoft Office suite.
- Willingness for occasional after-hours availability with a high commitment level.
- Bachelor’s degree preferred.

Compensation
The salary range for this position is $125,000 to $149,000 annually.
