Role Summary
This full-time, on-site position in Doha calls for an Executive Assistant who can provide broad administrative and organizational support to senior leaders. The role requires someone who can keep schedules organized, coordinate meetings and travel, manage confidential communication, and help ensure that executive operations run smoothly.
Key Responsibilities
- Manage executive calendars, arrange meetings, and keep priorities aligned.
- Organize travel plans, accommodation, and related logistics.
- Prepare, review, and process expense statements and basic cost-tracking work.
- Handle private correspondence with a high level of confidentiality.
- Plan executive meetings and support the preparation of agendas and materials.
- Draft, format, and update presentations and other business documents.
- Maintain accurate files, records, and administrative systems.
- Track follow-ups, action points, and deadlines to keep tasks moving forward.
- Act as a communication link between executives and internal or external stakeholders.
- Sort incoming requests, respond appropriately, and ensure timely follow-through.
- Assist with special assignments and contribute to efficient office operations.
- Maintain professionalism, discretion, and reliability in all interactions.
Qualifications and Requirements
- Solid background in executive administrative support, including scheduling, meeting coordination, and prioritizing tasks.
- Experience with general administrative work such as document handling, record management, and office organization.
- Ability to manage travel planning, expense reports, and simple budgeting or expense tracking.
- Strong written and verbal communication skills for interaction with people at different levels.
- High discretion and the ability to safeguard sensitive information.
- Excellent organization, time management, and attention to detail with the ability to balance multiple deadlines.
- Comfort using office software such as Microsoft Office or similar productivity tools, as well as digital communication platforms.
- Prior experience as an Executive Assistant or senior administrative assistant, preferably in healthcare or a similar field.
- A diploma or bachelor’s degree in Business Administration, Management, or a related area is preferred.
- Must be able to work on-site in Doha and function well in a multicultural, fast-paced setting.
