Role overview
This opportunity is being shared for a partner organization that handles applications and the rest of the hiring process. The employer is seeking a Case Coordinator in Canada to support a busy virtual healthcare setting.
The role is focused on keeping patient cases moving efficiently from initial intake through to completion. You will work across clinical, administrative, and provider teams to support scheduling, documentation, communication, and case progress. It is a strong fit for someone who enjoys structured operations in a dynamic environment and is comfortable handling sensitive medical information with care and confidentiality.
This position also provides exposure to healthcare systems, case management workflows, and ongoing improvement efforts within digital health operations.
Key responsibilities
- Oversee the full lifecycle of cases, including creation, updates, and tracking in internal systems, while keeping records complete and accurate.
- Arrange appointments and timelines between members, providers, and clinical staff, and manage calendars effectively.
- Assist with the collection, transfer, storage, and organization of medical records in both digital and paper-based formats.
- Keep case notes, communication logs, and workflow updates current in case management tools such as Salesforce, Boost, or similar platforms.
- Support case managers and providers with administrative and coordination tasks that help cases progress on time.
- Maintain clear communication with internal and external stakeholders to ensure continuity of care and a positive experience.
- Refer complicated case issues or concerns to the relevant clinical lead when needed.
- Help with operational activities such as eligibility verification, queue handling, and coordination with outside partners.
What you should bring
- 3 to 5 years of experience in an office, healthcare, hospital, or medical administration setting is preferred.
- Post-secondary education is strongly preferred.
- Exposure to medical terminology and healthcare administrative workflows is an advantage.
- Excellent written, verbal, and phone communication skills with a professional approach.
- Ability to juggle multiple priorities, stay organized, and work to deadlines in a high-volume environment.
- Strong troubleshooting ability with an emphasis on accuracy, efficiency, and practical resolution.
- Comfort working both independently and as part of cross-functional teams.
- Proficiency with Microsoft Word, Excel, Outlook, Teams, and document management systems.
- English and French Canadian bilingual ability is considered an asset.
