About the Role

Join AIG as a Business Services Administrator & Executive Assistant and contribute to the transformation of how we support customers in managing risk. This role offers an opportunity to develop your skills while being a key participant in a global Corporate Real Estate & Business Services team. This team manages real estate portfolios, corporate security, business continuity, facilities management, document services, workplace safety, and other essential business operations, focusing on driving operational efficiencies and a dynamic work environment.

Key Responsibilities

  • Manage real estate and facility operations, including project and move management, space planning, and critical infrastructure oversight in server rooms while ensuring compliance with local laws and AIG standards.
  • Assist with budgeting for Corporate Real Estate and Business Services expenses, proactively looking for cost-saving opportunities.
  • Oversee corporate services such as A/V equipment, document and records management, fleet and mail handling, mobile telephony, and reception services.
  • Participate actively in the New Zealand Health & Safety Committee, maintain first aid and fire warden records, and promote environmental sustainability initiatives covering energy, waste, emissions, and digitalization.
  • Enforce corporate security policies, including access control and CCTV systems; manage security incident reporting and support during security events.
  • Lead facility business continuity management locally, comply with global training and exercise plans, and support the incident management team during events.
  • Support onboarding and offboarding in collaboration with HR and IT, procuring IT accessories per company standards.
  • Assist with sourcing and procurement activities, including contract reviews with legal, vendor selection, negotiation, inventory management, and ensuring adherence to procurement policies.
  • Administer third-party vendor governance processes relevant to the role.
  • Ensure compliance with corporate policies and regulatory requirements; support audits and handle timely resolution of findings.
  • Coordinate global and local travel arrangements, consolidating monthly travel requests for approval.
  • Provide executive support to the New Zealand CEO by managing complex scheduling, travel logistics, expense reconciliation, office administration, confidential information handling, team communications, and event planning.

Required Skills and Experience

  • Proven background as an administrator within Corporate or Business Services and/or Corporate Real Estate sectors.
  • Strong organizational capabilities with the aptitude to prioritize multiple tasks efficiently in fast-paced environments.
  • Excellent attention to detail and problem-solving abilities.
  • Effective communication skills, both verbal and written, combined with interpersonal strengths.
  • Proficiency in Microsoft Office applications including Excel, PowerPoint, and Outlook.
  • Ability to work independently in a matrix organizational structure with flexibility and adaptability.
  • Maintain composure and conflict resolution skills when faced with challenges.
  • Demonstrated creativity in process improvement suggestions.
  • Understand the importance of serving as the primary contact for office and business services within AIG New Zealand.
