Role Overview

We are seeking a dedicated Administrator for the Customer Operations department based in Stamullen, County Meath. This permanent position supports administrative functions to ensure smooth operations across the department.

Key Responsibilities

  • Maintain compliance with safe work practices at all times, reporting any near misses promptly to the Environmental Health and Safety (EHS) Department.
  • Manage new account setups using JDE, including updating new customer addresses.
  • Handle item code creation for bulk materials, finished goods, and customer-supplied components.
  • Process Bills of Materials (BOM) requests for new and updated items.
  • Coordinate the booking of deliveries and collections, including creation of order confirmations (OC).
  • Prepare packing lists and manual dispatch notes as needed.
  • Raise non-production sales orders for items such as tooling, couriers, and QA documents; submit these to finance for billing, generate order acknowledgments, and liaise with Project Managers for customer purchase order requests.
  • Assist with destruction of obsolete bulk materials, PMs, and in-process waste as required.
  • Generate order acknowledgments for production batches and provide them to the appropriate Project Manager for customer issuance.
  • Undertake additional tasks assigned to support the company’s overall objectives.

Qualifications & Experience

  • 1-2 years of experience in an administrative role.
  • Strong ability to follow set goals, communicate effectively, and ensure task completion within targets.
  • Capable of handling multiple assignments simultaneously and prioritizing accordingly.
  • Proven problem-solving and troubleshooting skills with a proactive and dynamic approach.
  • Self-motivated and results-oriented mindset.
  • Willingness to work across various shifts when business demands.
  • Adaptability and strong team collaboration skills.
  • Proficient in Microsoft Office suite (Excel, PowerPoint, Word, etc.).

Preferred Skills

  • Experience interfacing with clients directly.
  • Background working in GMP (Good Manufacturing Practice) or other regulated environments.
  • Knowledge of Lean Manufacturing principles and continuous improvement tools.
