Role Overview

Reporting directly to the Vice President of Public and National Affairs, the Administrative Assistant and Event Coordinator will provide comprehensive administrative and operational assistance to the Public Affairs department. Responsibilities encompass calendar management, travel arrangements, expense reconciliation, and support for both internal and external projects related to Sustainability, Responsibility initiatives, and Political Action Committee (PAC) activities. The role involves assisting leadership with routine operational tasks and broader strategic projects.

Key Responsibilities

  • Perform general administrative functions such as answering telephone calls, managing correspondence, filing, preparing documents, office supply maintenance, and expense report processing.
  • Provide executive-level administrative support to the Public Affairs team, facilitating travel and meetings as required.
  • Manage scheduling and calendar coordination for the Vice President of Public & National Affairs.
  • Support the execution of the company-wide Political Action Committee (PAC) strategy and related initiatives.
  • Organize and manage events including fundraisers, networking meet-and-greets, off-site gatherings, and PRUSA PAC events.
  • Prepare and monitor the annual departmental budget under VP supervision and oversee day-to-day management of office financial transactions and invoices.
  • Supervise time-sensitive administrative projects aligned with public affairs goals to ensure smooth office operations.
  • Track and report on relevant legislative and governmental activities at state, federal, and congressional levels to assist the Public Affairs team.
