Role Overview
The Travel Coordinator acts as the essential operational support for the travel design team, collaborating closely with the Travel & Operations Manager. This role is key to ensuring all behind-the-scenes details are impeccably organized, accurate, and smoothly executed. It is a non-client-facing position centered on managing complex logistics and systems.
Key Responsibilities
- Assist with destination research, accommodation sourcing, and curating bespoke experiences by compiling comprehensive documents and briefing notes.
- Handle the full booking process including flights, lodging, transfers, dining, and exclusive experiences, maintaining flawless accuracy and timely communications with suppliers.
- Maintain and update supplier databases, researching new service providers globally to support business growth and partner onboarding.
- Prepare refined travel documents, journey briefs, booking confirmations, and operational files ensuring brand standards and error-free presentation.
- Manage CRM and operational platforms by keeping records current, contributing to workflow efficiencies and adapting to new internal tools.
Candidate Profile
This role suits early-career professionals with some experience in travel, hospitality, or operations. The ideal candidate is highly organized, detail-focused, and thrives in managing complex logistical tasks. Strong written communication and professionalism are important, as well as the ability to rapidly learn new technologies and support a team environment.
Requirements
- Prior experience in travel, operations, coordination, or related sector.
- Exceptional organizational abilities and keen attention to detail.
- Excellent written English and communication skills.
- Proficiency with Google Suite and the ability to quickly learn new systems.
- Capability to handle multiple tasks efficiently in dynamic settings.
- Proactive approach with problem-solving mindset.
Preferred Qualifications
- Background in luxury travel or lifestyle industries.
- Familiarity with CRM platforms and itinerary or booking software.
- Knowledge of global destinations, hotel brands, or destination management companies (DMCs).
