About the Role
Our client, Central West Specialized Developmental Services in Oakville, Ontario, is seeking a qualified Scheduler to oversee and coordinate staffing schedules across several departments and supportive living locations. This organization supports individuals with intellectual and developmental disabilities and complex needs through various community services and specialized care, aiming to enhance quality of life and foster inclusive experiences.
Key Responsibilities
- Create and update staff schedules for multiple departments and living sites.
- Ensure daily staffing needs are met with appropriate coverage.
- Handle employee absences, including call-outs, sick days, leave requests, shift swaps, and urgent schedule adjustments.
- Fill unexpected vacancies and adjust schedules to maintain adequate staffing levels.
- Accurately process electronic time cards before payroll deadlines.
- Apply scheduling policies including breaks and various types of leave codes such as sick, emergency, personal, and bereavement.
- Address employee inquiries related to schedules, absences, and time-off procedures.
- Comply with collective agreement guidelines for scheduling and call-outs.
- Recognize scheduling issues and suggest staffing solutions to management.
- Maintain and troubleshoot scheduling systems, recommending process improvements.
- Monitor attendance trends and prepare related documentation.
- Compile scheduling reports, metrics, and staffing data as needed.
Candidate Profile
- Diploma from a community college or equivalent relevant experience.
- At least two years of experience in employee or workforce scheduling.
- Preferable experience managing schedules in a 24/7 environment.
- Background in developmental services, healthcare, long-term care, community living, social services, or human services is an advantage.
- Experience within a unionized setting is highly desirable.
- Well-versed in collective agreements and the associated rules concerning shift coverage and scheduling.
- Skilled in handling employee absences and sudden staffing needs.
- Proficiency using online scheduling tools and processing electronic timecards.
- Familiar with attendance management and relevant employment legislation.
- Strong organizational capability, managing multiple urgent tasks efficiently.
- Excellent written and verbal communication skills.
- Demonstrates tact, discretion, and confidentiality in interactions with employees and managers.
- Competent in Microsoft Office and various scheduling software.
- Dependable, adaptable to changing work hours and scheduling demands.
Work Schedule
- Shift rotations include 7:00 a.m. to 3:00 p.m.; 11:00 a.m. to 7:00 p.m.; and 3:00 p.m. to 11:00 p.m.
- Weekend coverage rotations approximately every three to four weeks.
Compensation and Benefits
Salary range is $52,000 to $63,000 annually, with accompanying pension, benefits, and three weeks of vacation.
