Project Cost Controller

Role overview

The Project Cost Controller is accountable for keeping project job-cost reporting accurate, current, and dependable across all active work. This role supports budget reviews, risk checks, control compliance, and coordination with project and accounting teams to improve financial processes and strengthen project accounting practices.

Key responsibilities

• Maintain the precision, completeness, and timeliness of job-cost data for all projects, including both budgeted and actual figures.
• Review project budgets on a weekly basis at the division and/or subcontract level, examining quantities, pricing, rates, schedules, and other assumptions to identify risk exposure and suggest corrective actions.
• Prepare, analyze, and present weekly and monthly job-cost reports, along with action plans and any other project monitoring updates needed.
• Compile monthly progress draws, including revised budgets, invoices, statutory declarations, change orders, WSIB documents, and insurance support, and submit them to the Quantity Surveyor within the final 5 days of each month.
• Partner with Project Management and Accounting Services to set up, approve, and maintain vendor packages, purchase orders, contracts, and vendor invoice entry/payment in line with Construction Lien Act requirements, including holdback tracking and release.
• Work with Project Management to establish and enforce approval controls and invoice matching against purchase orders and contracts.
• Develop and refresh cash flow forecasts for upcoming project draws using updated schedules from Project Management to support cash planning.
• Take part in project kickoff and closeout meetings by supplying required reports and documentation, sharing financial input, and following through on agreed action items.
• Continuously review project accounting systems and workflows, and help design and roll out improved policies and procedures.

Requirements

• 3 to 5 years of experience in cost control or project accounting within the industry.
• A bachelor's degree in a relevant field.
• Strong understanding of budgeting, forecasting, and job-cost reporting processes.
• Hands-on experience with accounting software and ERP platforms, plus advanced Excel capability.
• Excellent analytical, troubleshooting, and organizational skills with strong attention to detail.
• Effective communication and interpersonal skills for working with project managers, vendors, and accounting teams.
