Role overview
The company is hiring a Payroll Clerk to join its Administration and Finance team within the hospitality sector. The role reports to the Financial Controller and involves working 6 hours per day. The successful candidate will be responsible for handling payroll accurately, keeping employee information up to date, and supporting compliance with payroll-related rules and procedures so that staff are paid correctly and on schedule.
Payroll processing
- Review time records, attendance logs, and related input documents before payroll is run.
- Compute wages, salaries, bonuses, and other pay elements.
- Enter payroll information into the system accurately and within the required timeline.
- Check payroll outputs for errors and sort out any mismatches or corrections.
Employee records and confidentiality
- Keep employee files accurate and current, including personal details, tax information, and deductions.
- Protect employee data and follow privacy and confidentiality requirements.
- Record employment changes such as new starters, exits, promotions, and pay revisions.
Reporting and compliance
- Prepare payroll reports for management and other internal stakeholders.
- Produce reports needed for accounting, audit, and regulatory purposes.
- Support payroll-related tax submissions and associated reporting tasks.
Employee support and work permit administration
- Respond to employee queries about pay, deductions, and benefits.
- Help employees with payroll-related issues and requests.
- Apply for and renew work permits for Third-Country National employees in line with employment regulations.
- Prepare, submit, and monitor permit applications and renewal requests with the appropriate authorities.
- Make sure all required supporting documents are complete, accurate, and filed on time.
- Track permit expiry dates to help maintain uninterrupted legal employment status.
- Coordinate with employees, government bodies, and internal teams on permit matters and compliance requirements.
- Guide Third-Country National employees on document needs and the permit process.
- Maintain confidential records connected to employee and permit administration.
Required experience and skills
- Prior exposure to payroll processing or a comparable position is preferred.
- Hands-on ability with payroll software, ideally Shireburn Indigo, along with Microsoft Excel.
- Strong accuracy, numerical ability, and analytical thinking.
- Good communication and people skills.
- Working knowledge of payroll legislation, regulations, and standard practices.
- Comfortable working both independently and as part of a team.
- Candidate must currently be based in Malta.
Working arrangement
This is a part-time, onsite position in Saint Paul's Bay, Malta, with a daily schedule of 6 hours.
