Role Summary
We are seeking a detail-focused Office Administrator and Receptionist to join our team in our new Sharjah, UAE office. This role is pivotal in ensuring smooth office operations and serving as the welcoming face for visitors, customers, and vendors through multiple communication channels. The ideal candidate will uphold a professional company image and assist management in daily administrative duties.
Key Responsibilities
- Oversee the reception area and warmly attend to visitors.
- Serve as the initial contact point, promptly and courteously managing phone and intercom communications.
- Arrange setup for meeting rooms and coordinate conference calls.
- Handle incoming and outgoing mail, including postage and packages.
- Organize travel arrangements such as flights, accommodations, and rental vehicles.
- Coordinate catering services for meetings, corporate events, and staff needs.
- Support the planning and execution of company events.
- Manage expense reports and billing processes.
- Maintain productive relationships with vendors, service providers, and property management.
- Provide assistance with property maintenance and facility management.
- Order and maintain inventory of office and kitchen supplies and stationery to ensure continuous availability.
- Monitor facility issues and resolve problems swiftly.
- Respond effectively to employee queries related to facilities.
Required Skills and Competencies
- Outstanding organizational abilities and adept time management.
- Strong communication skills and commitment to excellent customer service.
- Fluent and professional verbal and written communication skills in both English and Greek are essential.
- Proficiency in Microsoft Office applications.
- A confident, proactive, and solutions-oriented approach to work.
Experience and Education
- Bachelor’s degree in Business Administration or related field is required.
- Previous experience in office administration is mandatory.
- Experience working within a financial institution is an asset.
