Role Overview
The Logistics Coordinator is responsible for overseeing outbound freight logistics involving steel joists and metal deck shipments from O'Donnell Metal Deck’s facilities and manufacturers to construction job sites. This role ensures shipments are delivered on schedule by closely liaising with manufacturers to monitor production, coordinating delivery details with job site contacts, and negotiating freight rates through brokers to maintain cost-efficiency and timeliness.
Given the dynamic nature of construction sites, the coordinator must address unexpected delays such as loading bottlenecks or changes at manufacturing points promptly to prevent disruptions in the job site schedule. Since timely delivery is paramount—particularly where crane operations and installation crews depend on precise material arrival—the coordinator’s role is critical in preserving customer trust by enforcing shipment deadlines and managing time-sensitive freight challenges effectively.
Key Responsibilities
- Manage orders from the point they are released to the plant by the Project Manager through to delivery at the job site.
- Enforce manufacturer adherence to shipping dates and ensure job sites maintain planned delivery windows; escalate issues as necessary.
- Proactively follow up with manufacturers near ship dates to prevent scheduling delays.
- Organize outbound freight for full truckload (FTL) flatbed and hotshot deliveries from manufacturers to job sites.
- Obtain freight rates, negotiate, and book shipments through freight brokers, aiming to stay within budget and identify savings.
- Confirm job site access details, contacts, and offloading equipment arrangements with construction teams or foremen.
- Monitor freight pickups and delivery windows closely; respond immediately to delays or carrier problems.
- Communicate shipment information clearly to project managers, customers, and manufacturers.
- Maintain thorough and accurate shipment documentation such as bills of lading, carrier details, and site contact information within internal systems.
- Update QuickBooks records upon completing deliveries to facilitate material receipt confirmation and project invoicing.
- Alert internal teams to any freight cost changes or risks related to delivery.

Required Skills and Experience
- Solid knowledge of full truckload (FTL) flatbed freight and broker-based shipment coordination.
- 2 to 4 years of experience managing freight operations; construction industry experience is advantageous.
- Ability to maintain proactive vendor relationships and timelines.
- Familiarity with oversized load and less than truckload (LTL) shipments is a plus.
- Experience handling secure deliveries that require driver pre-clearance or special site access, such as military bases or ports, is beneficial.
- Excellent communication skills to liaise effectively with job site staff and internal teams.
- Highly organized with the capability to manage multiple active shipments simultaneously.
- Proficient in digital communication tools including email, phone coordination, and shipment tracking systems.
