We are currently seeking a Logistics Coordinator based onsite in Torrance, CA, who will play a pivotal role in managing the timely distribution of clinical supplies and collection kits to our clients and healthcare partners.
Key Responsibilities
- Ensure accurate and efficient processing and fulfillment of orders for clinics, clients, and affiliates using company software such as Salesforce and designated portal platforms.
- Prepare, assemble, and audit clinical collection kits along with all related documentation to maintain quality and compliance standards.
- Complete and verify shipping documents including labels, airway bills, commercial invoices, and other necessary paperwork for both domestic and international shipments.
- Manage incoming and outgoing shipments by coordinating carrier arrangements, scheduling pickups, and resolving shipping-related discrepancies.
- Handle reverse logistics processes for returned materials, such as PGT components and clinical supplies.
- Conduct regular inventory audits, reconciliation, and replenishment to maintain accurate stock levels and control.
- Organize and document transfers of supplies and biological sampling materials between offices.
- Maintain an organized, safe, and compliant warehouse environment adhering to company policies and regulatory requirements.
- Oversee logistics-related email communications, ensuring prompt response to inquiries from internal teams and customers.
- Investigate and address issues related to shipments, tracking, carrier services, and transit delays through problem-solving and effective communication.
- Keep precise records and update activities using business systems including Salesforce and Navision.
- Collaborate closely with multiple departments such as Client Services, Genetic Counseling, Laboratory Operations, and Sample Reception to support overall logistics efficiency.
- Participate in continuous improvement projects to enhance processes in logistics, procurement, warehousing, and inventory management.
- Perform other duties aligned with departmental and organizational goals as assigned.
Qualifications and Skills
- Minimum of a high school diploma or equivalent educational background.
- At least one year of experience in logistics, shipping, warehousing, inventory management, distribution, or courier operations.
- Proficiency with Microsoft Office, particularly Excel, and experience using Salesforce, ERP, CRM, or inventory management systems.
- Basic computer skills including data input and keyboarding proficiency.
- Preferably two or more years of relevant experience in regulated environments such as healthcare, biotech, pharmaceuticals, or medical devices.
- Advanced Excel capabilities, especially in reporting, analysis, and inventory control preferred.
- Education like an Associate’s or Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or related field is advantageous.
- Knowledge of shipping, inventory control, warehousing, logistics processes, and international shipping compliance.
- Strong organization, time management, communication, customer service, and interpersonal skills.
- Effective problem-solving abilities with attention to detail and accuracy.
- Capability to operate independently and collaboratively, manage multiple priorities in a dynamic environment, and adhere to safety and regulatory standards.
- Physical ability to lift and move up to 40 pounds as needed.
