Role Overview
The Facilities Manager holds accountability for the safety, efficiency, maintenance, and regulatory compliance of the company's workplaces and facilities. This position involves supervision of everyday operations, upkeep activities, vendor and contract administration, occupational safety, spatial planning, utilities, and the provision of administrative support services.
Key Responsibilities
- Oversee daily office premises operations to guarantee a secure, clean, and fully operational workspace.
- Manage maintenance programs covering mechanical, electrical, plumbing, HVAC, and fire protection systems, collaborating with building management and specialized contractors.
- Conduct routine facility inspections and ensure prompt remedy of maintenance issues.
- Source, assess, and administer service agreements for cleaning, security, technical maintenance, catering, and other facility amenities.
- Negotiate and manage contracts involving building management (PMV) and external service suppliers, ensuring compliance with procurement policies; oversee vendor performance versus SLA, along with contract renewals and terminations.
- Lead and organize office relocation efforts, including fit-out, departmental zoning, furniture layouts, and space distribution.
- Coordinate procurement and setup of office furnishings, fixtures, and equipment; work together with IT teams on cabling and network readiness.
- Engage with interior designers, contractors, and management of QIG Tower for partitioning, electrical setup, and glass installation projects.
- Manage utility account registrations and renewals (water, electricity, air conditioning) consistent with lease agreements; ensure timely settlements of deposits, service fees, and related obligations.
- Maintain comprehensive facility documentation such as leases, service contracts, inspection records, and regulatory certificates.
- Ensure compliance with Qatar Civil Defence and QFC health and safety standards.
- Handle access control, parking management, EV charger installation, and coordinate security protocols.
- Maintain business continuity and emergency response plans for the premises.
- Develop and oversee the annual facilities budget, monitor expenditures, and report financial deviations to the Head of Corporate Services.
- Deliver regular updates on facility initiatives, maintenance tasks, and vendor performance metrics.
Required Qualifications & Experience
- Bachelor's degree in Facility Management, Engineering, Business Administration, or similar disciplines; professional certifications such as CFM, IFMA, or BIFM are beneficial.
- At least 5 years of facility management experience, ideally in corporate, EPC, or project-centric environments within the GCC.
- Proven expertise managing multi-level office operations, relocations, fit-outs, and service provider agreements.
- Good knowledge of Qatar building codes, Civil Defence regulations, and QFC operational guidelines.
- Experienced in liaising with landlords, building managers, and utility authorities in Doha is highly preferred.
Skills and Competencies
- Expert understanding of facility operations, preventive maintenance, and vendor management methodologies.
- Strong project management capabilities to deliver office fit-outs and relocations within budgets and timelines.
- Proficient in contract negotiation and commercial management of service agreements.
- Excellent English communication skills; Arabic language proficiency is an added advantage.
- Ability to build and maintain effective partnerships with building authorities, contractors, and various internal stakeholders.
- Proactive and detail-oriented approach, capable of handling multiple priorities in a fast-moving environment.
